Position Summary:
The Executive Assistant provides high-level administrative support to the CEO by managing their calendar, coordinating meetings, handling correspondence, and overseeing special projects. The role requires strong organizational skills, attention to detail, and the ability to work independently with minimal supervision. The ideal candidate will be proactive, resourceful, and able to maintain confidentiality in all aspects of their role.
This is a full-time, in-office role based in our Scottsdale, AZ headquarters.
Performance Objectives:
- Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for the executive. Ensure efficient time management and prioritize conflicting demands.
- Communication: Manage and screen phone calls, emails, and other correspondence. Draft, proofread, and send communications on behalf of the executive.
- Meeting Preparation: Prepare meeting agendas, take meeting minutes, and follow up on action items. Ensure that the executive is well-prepared for all meetings.
- Travel Arrangements: Organize domestic and international travel, including flights, accommodations, and itineraries. Prepare and submit expense reports.
- Project Management: Assist with the coordination of special projects, ensuring deadlines are met and tasks are completed efficiently.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Office Management: Order office supplies, manage filing systems, and ensure the executive’s workspace is organized and functional.
- Liaison Role: Act as the point of contact between the executive and internal/external stakeholders, fostering positive relationships.
- Event Planning: Organize and coordinate events, meetings, and conferences.
- Ability to travel occasionally for off-site meetings or company events is required.
Requirements

Education & Experience:
- Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
- Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
Physical Requirements:
- Physical Activities: Constantly sit, talk, or hear; frequently use hands
- Lifting Requirements: Up to 15 lbs.
- Environment Conditions: Temperature changes and extreme heat
