Training Outreach & Events Coordinator

In addition to our direct service programs, Pathways Vermont operates Vermont’s Peer Workforce Development Initiative (PWDI), funded by an annual grant from the Vermont Department of Mental Health, as well as Pathways Vermont Training Institute, which provides training and technical assistance to a variety of agencies and individuals across the world.
The Position: The Outreach & Events Coordinator is a full-time position and an integral part of the training team at Pathways Vermont. The Outreach & Events Coordinator provides coordination and administrative support for Vermont’s Peer Workforce Development Initiative, including statewide Peer Certification Training, and Pathways Vermont Training Institute. This position begins in October 2025.
Location: Statewide, hybrid remote and in person to support training events throughout Vermont
Employment Status: Full Time, Non-Exempt (35-40 hours weekly)
Reports to: Director of Training & Advocacy
Job Responsibilities
Outreach Coordination
Track and respond to inquiries for training and technical assistance
Support with scheduling calls/meetings with peer workforce, community partners, and training clients
Support with preparing and sending training proposals
Update and maintain filing systems for training participants and training clients
Communicate with PWDI networks about upcoming events and trainings
Events Coordination
Plan and coordinate online and in-person training and events, including scheduling, managing registration, booking venues, creating attendance spreadsheets, creating Zoom links, communicating with training participants, mailing materials to participants, preparing handouts and other materials, buying supplies, and setting up and breaking down in-person events
Plan and coordinate in-person conference for the Vermont peer workforce
Book travel and accommodations for in-person training, events, and conferences
Assist in training and events facilitation when needed
Administrative Support
Create, collect, and review training evaluations
Prepare and submit invoices
Process expense requests for training and travel expenses
Support with quarterly reports
Order and organize training supplies as needed
Maintain inventory list of training materials
Support with training eligibility screening and communications with training applicants
Revise and format facilitator guides, participant workbooks, and training materials as needed
Support with adding training content into learning management system
Support quality improvement of trainings
Issue certificates as requested to participants who have completed trainings
Maintain and improve organization within google drive
Other Duties as assigned
Attendance at the annual All Staff and Programmatic Retreats is an expectation of employment with Pathways Vermont, unless excused by the employee’s manager/HR. Retreats are held on workdays, during normal working hours, and are fully paid.
Strongly Preferred Qualifications:
Familiarity and alignment with peer support and the psychiatric survivor movement
Completion of an Intentional Peer Support Core Training
Required Qualifications:
Understanding of and commitment to Pathways Vermont values
Comfort and experience with public speaking and mass communications
Excellent interpersonal and communication skills
Ability to sit with the discomfort of systems change
Willingness to practice humility and curiosity
Willingness to participate in continuous feedback processes and adjust communication styles and approaches as needed
Telephone/computer/internet/social media skills and familiarity with Google and Zoom platform
Self-motivation and ability to work independently
Ability to work during non-standard hours
Flexible schedule and extensive travel potentially required

Working Conditions/Physical Demands:
Sitting or standing for sustained periods of time
Frequent operation of a computer and other office machinery including frequent typing
Frequent utilization of close visual acuity and reading from a computer screen, must be able to read information captured in type and free hand form
Frequent talking and listening in participation of exchanging ideas through spoken word and receipt and giving of detailed information through oral communication
The worker is subject to various environmental conditions. Activities occur inside and outside.
Occasionally lifting and carrying up to 30 pounds (i.e. carrying equipment or materials for activities, outreach)
Ability to utilize various modes of transportation (bus, train, plane, etc.)

Compensation:
Full-time, non-exempt, hourly
35-40 hours per week, weeknights and weekends as needed
$20-22/hour (starting pay determined by starting pay matrix)
