Overview: The Maintenance Planner Support Coordinator plays a critical role in ensuring that the Maintenance team operates efficiently and effectively. This position supports the Maintenance Mechanics by coordinating work orders, managing parts and supplies, scheduling preventive maintenance tasks, and maintaining accurate records. 

Essential Duties/Responsibilities:

1. Planning & Scheduling Support

· Prepare weekly and daily maintenance schedules.

· Collect and review work requests to ensure clarity, accuracy, and priority alignment with production needs.

· Coordinate with operations, sanitation, and production teams to schedule maintenance with minimal downtime.

· Monitor and update the Maintenance System with planned work orders.

 

2. Work Order & Documentation Management

· Ensure all work orders are properly documented, closed, and filed with detailed notes.

· Track maintenance backlog and follow up on open work orders.

· Maintain accurate equipment history logs for compliance and continuous improvement. 

· Support execution of preventive maintenance (PM) tasks by ensuring work orders, tools, and parts are ready in advance.

 

3. Inventory & Procurement Support

· Works with Parts Coor to notify Maintenance Manager when stock levels are low.

· Coordinate with vendors for parts availability and timely delivery.

· Assist in maintaining an organized parts room with accurate labeling and system updates.

 

4. Reporting & Continuous Improvement

· Provide weekly updates on maintenance progress, KPIs, and work order completion.

· Assist with root cause analysis by gathering data and supporting corrective action implementation.

· Recommend process improvements to enhance maintenance planning efficiency.

 

5. Preventive maintenance (PM)

  • Help maintain PM compliance metrics and escalate overdue tasks.
  • Make sure PM work orders are set up with the right parts and instructions.

     

Requirements

  

  • High school diploma or GED.
  • 2+ years of experience in maintenance coordination, planning, or      administrative support (manufacturing or food industry preferred).
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with Maintenance work order software.
  • Familiarity with food safety and regulatory requirements (SQF, GMP, OSHA).
  • Experience in procurement or inventory management.
  • English/Spanish Bi-lingual preferred
