Executive Administrator
The Natural History Museums of Los Angeles County (NHMLAC) include the Natural History Museum in Exposition Park, La Brea Tar Pits in Hancock Park, and the William S. Hart Museum in Newhall. The NHMLAC is seeking an Executive Administrator for our Education & Programs department. The Executive Administrator provides advanced administrative support and office coordination assistance to the Interim Vice President, Education and Programs. This position operates under general direction, has independent decision-making responsibility and regularly exercises discretion and independent judgment.
Responsibilities for this position include, but are not limited to:
- Administrative Support to Division Head: Provides high-level administrative support to Interim VP, Education & Programs, including scheduling meetings, making appointments and maintaining his/her calendar and contact list.
- General Office Coordination and Support: Supports the departmental needs of 100+ staff for over 45 offices, kitchens, conference rooms and storage areas in the building.
- Communications and Reporting: Creates Keynotes/PowerPoints, agendas, reports, org charts, and divisional employee lists.
- Finance Coordination: Coordinates with Finance for Department related expenses. Facilitates contracting process, departmental finance and budget to maximize operational efficiency.
- Interdepartmental Collaboration: Liaison with HR to move along the recruitment and hiring process for the division. Liaisons with interdepartmental teams to ensure effective and efficient Museum operations.
- External Collaboration: Directs and maintains relationships with departmental third-party vendors/contractors.
This position has the following requirements:
- B.A./B.S. (M.A./B.S. preferred) degree from an accredited institution preferred. High School diploma, GED or equivalent required.
- Minimum 5 years of experience with progressively greater responsibility and successful outcomes for a comparable program or function.
- Experience facilitating communication, consensus building and collaboration among departments in limited physical space.
- Excellent organizational, interpersonal and problem-solving skills. Ability to maintain systems of detailed material for the key departmental managers access and use.
- Ability to work well under supervision or independently as required.
- Must be discreet and able to deal appropriately with confidential information.

The hourly rate range for this position is $29.69 hourly and includes excellent benefits. This is a Full-Time Temporary, non-exempt position.
