At Vernon Woods Animal Hospital, we believe our front desk team sets the tone for each visit. As a veterinary client service representative, youâll play a vital role in making every pet owner feel welcome, informed, and supported.
đŸ What You'll Be Doing:
- Greet clients and pets warmly in person and over the phone
- Answer phones, triage calls, schedule appointments, and manage reminders
- Check clients in and out efficiently while ensuring all necessary paperwork is completed
- Process payments, prepare invoices, and manage financial transactions
- Communicate effectively with clients regarding appointment details, services, and follow-up care
- Maintain accurate and up-to-date medical records and patient files
- Assist with inventory management and product orders for the front desk
- Support the veterinary team with administrative tasks as needed
- Keep the front desk and lobby clean, organized, and welcoming
- Demonstrate empathy and professionalism during emotionally sensitive situations (e.g., euthanasia, emergencies)
đ What Weâre Looking For:
- Has excellent communication skills, both verbal and written
- Is compassionate, positive, and calm under pressure
- Is comfortable multitasking in a busy environment
- Is computer literate and familiar with appointment software and digital records (experience with veterinary software is a plus)
- Takes initiative and is eager to support the team however needed
- Maintains a professional, polished demeanor and appearance
- Has a genuine love for animals and a strong commitment to client care
- Is reliable, punctual, and detail-oriented
- Can work a flexible schedule including some weekends and holidays
Preferred Qualifications
- Previous experience in a veterinary hospital, animal shelter, or medical office setting
- High school diploma or equivalent (Associateâs or Bachelor's degree preferred)
- Familiarity with veterinary medical terminology and services is a big plus
- Bilingual (English/Spanish) is a plus, but not required
