Administrative Specialist
Greenwich, CT / Onsite / Full- Time
Overview: Family Centers, a nonprofit organization in Fairfield County, is seeking a highly organized Administrative Specialist to provide office administration support at our Greenwich, CT headquarters. This is an excellent opportunity for a detail-oriented professional who enjoys supporting leadership teams, managing office operations, and delivering exceptional customer service in a mission-driven environment.
The Role:
• Serve as the first point of contact for visitors, phone calls, and emails, ensuring excellent customer service.
• Provide administrative support to the Executive Team, including calendar management, scheduling, and meeting coordination.
• Oversee day-to-day office operations for our executive offices and Grauer preschool, ensuring efficiency and professionalism.
• Assist with grant documentation, compliance reporting, and accreditation paperwork.
• Perform accurate data entry and administrative support for health, education, and human service programs.
• Manage office supplies and building inventory—ordering and organizing as needed.
• Monitor facilities issues and contribute to the Safety Committee to maintain a safe work environment.
• Collaborate with leadership and staff to improve administrative processes and productivity.
• Perform other related administrative duties as assigned.
Qualifications:
• 3+ years of administrative, executive assistant, or office management experience
• Proficiency in Microsoft Office Suite; ability to learn new software quickly
• Strong organizational, time management, and multitasking skills
• Excellent written and verbal communication skills
• Ability to work independently in a fast-paced, team-oriented environment
• High level of discretion and ability to maintain confidentiality
• Valid driver’s license, reliable transportation, and auto insurance required
Preferred:
• Bachelor’s degree
• Prior experience in a nonprofit, education, healthcare, or human services environment
