Job Summary
The Operations Partner – Statutory Compliance is accountable for managing end-to-end statutory and labour law compliance at the plant or factory level. This role ensures full adherence to applicable legal and regulatory frameworks, supports HR operational compliance, and oversees administrative functions critical to plant operations. The position plays a key role in maintaining a safe, ethical, and legally compliant workplace, while driving consistency in internal HR processes and fostering a culture of accountability and engagement
Roles & Responsibilities
- Ensure full compliance with statutory regulations including PF, ESI, Labour Laws, Shops & Establishment Act, and Factories Act.
- Obtain new factory and labour licenses, oversee timely renewals, and manage approvals for factory layout changes and shifts.
- Prepare and submit all statutory returns (monthly, quarterly, half-yearly, annual) to relevant authorities.
- Manage statutory payments and fees related to license renewals, employee strength changes, and facility modifications.
- Maintain compliance registers, records, and documentation to meet inspection and audit standards.
- Remain audit-ready for inspections from authorities such as: Labour Departments, Directorate of Factories, Pollution Control Board, and Customer Auditors
- Monitor contract labour compliance in coordination with the admin team.
- Validate contractor adherence to statutory norms, recommend corrective actions, and drive implementation.
- Track minimum wage notifications, skill/category-based wage updates, and ensure proper wage implementation.
- Review vendor compliance documentation and drive improvements where necessary.
- Manage the complete documentation from recruitment to exit formalities
- Ensure payroll compliance including timely
- Manage gratuity settlements and employee insurance processes (GMC, GPA).
- Lead and maintain statutory committees including: Works Committee, POSH Committee, Grievance Redressal Committee, Safety Committee
- Ensure legal adherence to committee mandates, meeting schedules, and documentation.
- Ensure health, hygiene, and safety compliance across factory premises.
- Promote a positive workplace culture through employee feedback, grievance redressal, and communication.
- Implement employee welfare schemes in line with company values and statutory obligations.
- Implement and monitor employee well-being programs including health checkups, wellness campaigns, and awareness drives.
- Coordinate with local medical partners for regular health assessments.
- Maintain records for occupational health and safety compliance.
- Monitor hygiene, sanitation, and safety practices in alignment with legal and company standards
- Plan and implement welfare activities, festivals, engagement programs, and recognition events.
- Manage vendor relationships and support admin.

Timely filing of all statutory returns (PF, ESI, Factory Act, etc.)
Accuracy and completeness of statutory records and registers
Zero non-compliance observations in audits and inspections
Timely renewal of licenses and registrations
Up-to-date implementation of labour law amendments
Timely validation of contractor compliance documents
Effective monitoring and implementation of minimum wage revisions
Closure of compliance gaps identified in contractor/vendor audits
On-time submission of reports and documentation for contract labour
Accurate and timely payroll compliance inputs (PF, ESI, LWF, etc.)
Gratuity and full & final settlements processed within stipulated timelines
Insurance (GMC, GPA) coverage maintained and renewed without lapses
Timely handling of employee insurance claims and coordination with insurers
Implementation of periodic health check-ups and wellness initiatives
Maintenance and readiness of onsite medical infrastructure
Availability of updated occupational health records
Up-to-date and accurate employee records in HRMS
- Timely resolution of employee queries related to attendance, leaves, payroll
Regular meetings and documentation for POSH, Works, and Grievance Committees
Compliance with meeting frequency and documentation requirements
- Efficient compliance operation of plant admin functions
- Cleanliness, hygiene, and safety audits conducted and acted upon
Readiness for external audits (ISO, FSSAI, Social Compliance, etc.)
Timely response to audit observations and corrective actions
Zero critical findings in labour, factory, and environment inspections
Work experience requirement
- 7 to 9 years of relevant experience in HR, statutory compliance, and administration.
- Mandatory experience working in a manufacturing setup, preferably food or dairy industry.
- Strong understanding of labour laws, Factory Act, and payroll/statutory systems.
- Hands-on experience with Social Compliance audits.
- Proficient in SAP, SuccessFactors, and MS Office.
- Excellent communication, interpersonal, and stakeholder management skills.
- Ability to work independently and cross-functionally with Production, Quality, Maintenance, etc.
Qualification
Postgraduate degree in MBA / PGDM / MSW or a related field.
