Accounts Payable/Receivable Specialist

Summary:

Under the supervision of the Senior Accountant, the Accounts Payable/Receivable Specialist carries out all centralized accounts payable functions in addition to other duties as required.

  • Accounts      Payable Processing.
  • Code and record invoices & check requests into the accounting system daily.
  • Establish and maintain vendor files.
  • Weekly check issuance including emergency situations.
  • Reviews invoices, vouchers and/or other documents for accuracy prior to recording in the A/P      sub-ledger.
  • Ensure proper support documentation is included with invoices prior to recording in the A/P      sub-ledger.
  • Prepare Year End 1099 Reports to be sent to IRS
  • Ensure that all Vendors have a W-9/Tax ID number on file prior to first payment
  • Code and enter Accounts Receivable invoices.
  • Periodically review Accounts Receivable aging report and follow up on aged invoices for      payment as necessary.
  • Maintain/code incoming cash database.
  • Prepare Daily deposits.
  • Assist with bank reconciliations.
  • G/L reconciliations.
  • Assist with the month-end closing process.
  • Recurring month-end G/L transactions.
  • Maintains historical records by filing documents.
  • Works outside of regularly scheduled working hours when necessary.
  • Ability to safeguard confidential information.
  • Attends staff meetings and staff functions as needed.
  • Other assignments and special projects required.

Authority:

This position holds a relatively high degree of independence within the framework of the agency's policies and procedures. The individual must be resourceful and able to display initiative and understanding of management systems and interpersonal relations.

Skills and Abilities:

  • AAS-Accounting or AS Business Administration required. BS Accounting desirable.
  • Two years' experience in similar capacity
  • Computer-MS Office, QuickBooks, Boston Post, FundEZ or equivalent
  • Excellent communication and written skills
  • A combination of training and experience other than the specified, if judged      to be adequate for the job, may be accepted by IADC President and Senior Accountant.
