Overview

The Catering Coordinator is a vital member of the Catering Team, focused on managing day-to-day catering operations and delivering exceptional client service. This role owns the full lifecycle of catering orders, from intake to execution to feedback, ensuring every catering client receives personalized attention and seamless service. The Catering Coordinator helps drive revenue growth and repeat business by building strong relationships and upholding Impact Kitchen’s high operational standards.

Core Responsibilities

  • Catering Operations
    • Manage inbound catering inquiries, respond promptly, and create accurate quotes tailored to client needs.
    • Confirm orders and process payments efficiently.
    • Maintain up-to-date and accurate catering calendars.
    • Coordinate internal communication with Operations and Culinary teams for flawless execution.
    • Coordinate and execute the delivery of all catering orders by either hand-delivering, assigning to a team member (e.g. Catering Intern), or booking through a third-party partner (e.g. Dlivrd) ensuring all deliveries are executed on time with a focus on professionalism, brand presentation, and a seamless hand-off to the client.
    • Send and track post-order feedback surveys.
    • Day-to-day intake, quote generation, and coordination of standard catering orders.
    • Act as the first point of contact for day-of catering execution issues.
    • Monitoring and responding to inbound catering requests.
    • Distributing and collecting post-order feedback surveys.
    • Supporting delivery and execution logistics for standard catering orders.
    • Providing operational support for in-restaurant team coordination.
    • Monitor incoming orders, menu listings, and performance metrics on third-party platforms.
  • Client Relationship Management
    • Build and nurture long-term relationships with catering clients.
    • Track repeat clients and identify opportunities for proactive engagement or upselling.
    • Support the planning and coordination of catering-focused events.
  • Content & Innovation
    • Keep the Impact Catering Portal updated with accurate information, including menu launch updates, seasonal items and visual assets.
    • Collaborate with the Partnerships team on content and materials to promote Catering offerings.
    • Identify opportunities to enhance the catering client experience at each touchpoint.
  • Success Measures
    • Meet or exceed targets for catering revenue, client retention, and client satisfaction.
    • Ensure high levels of operational accuracy and no delivery errors.
    • Maintain positive feedback scores from post-order surveys.

The Catering Coordinator will be responsible for the intake, coordination, and fulfillment of catering orders in New York City. Operating remotely, they will serve as the primary liaison between NYC clients and Impact’s internal teams, ensuring every order is accurately quoted, communicated, and followed up on with high-touch service. This role will manage all delivery logistics by booking orders through Dlivrd, ensuring timely, professional, and brand-aligned execution. The Catering Coordinator will execute the day-to-day catering operations in NYC and work in close collaboration with the Catering Manager, keeping them informed and aligned to ensure a seamless client experience that meets Impact Kitchen’s standards.
