As an Executive Assistant, you will be providing seamless administrative and operational support to the Group Executive Group Strategy and Service Delivery and Group Strategy General Managers, by proactively managing schedules, preparing critical documents, and facilitating effective communication. As an Executive Assistant you will enable leaders to focus on strategic priorities that advance RAC’s mission. Through professionalism, discretion and proactive coordination, the role helps Group Strategy and Service Delivery teams to deliver great member services and experiences to make life better in WA.
This is a max term opportunity for 13 months.
What will you be doing?
Ensuring the Executive and General Manager’s calendars, meetings, and travel arrangements are proactively managed to support strategic focus and timely decision-making.
Assisting with the flow of information and task follow-ups to ensure the Executive is well-informed and prepared for key engagements.
Coordinating and preparing divisional reporting, governance documentation, and board submissions in collaboration with relevant stakeholders.
Preparing high-quality documentation, presentations, and correspondence that enable effective communication and stakeholder engagement.
Ensuring cost centre administration and budget tracking are completed accurately and in accordance with RAC’s financial protocols.
Planning and coordinating team activities including workshops, town halls, functions and volunteering within agreed budgets and timeframes, ensuring compliance with policies and health and safety protocols.
Assisting with the coordination of, and mobilising support across teams to deliver, divisional priorities and initiatives.
Influencing operational effectiveness within Group Strategy and Service Delivery by identifying opportunities to streamline administrative processes and improve efficiency.
Inspiring a culture of service excellence and collaboration through consistent, professional and confidential support to the Executive and broader leadership team.
What are we looking for in you?
Significant experience delivering high-level administrative and executive support to senior leaders — expertly managing complex diaries and inboxes, preparing correspondence, coordinating travel and itineraries, and organising meetings and events with clear actions and follow-through.
Proven discretion with confidential communications and sensitive information, applying privacy, records management and governance standards in day-to-day handling, storage and distribution of documents.
Advanced organisational and interpersonal skills — able to work autonomously, juggle competing priorities, anticipate needs, resolve issues proactively, and build strong internal networks and trusted relationships at all levels.
Governance and reporting capability — preparing board/committee papers, briefing notes, reports and presentations; coordinating inputs, approvals and deadlines; and ensuring quality assurance, version control, and brand-consistent formatting.
Strong stakeholder engagement — liaising confidently with senior leaders, cross-functional teams and external partners; communicating clearly (written and verbal); and coordinating activities to land decisions and drive timely follow-ups.
End-to-end meeting, workshop and event management — developing agendas and pre-reads, arranging rooms/AV/catering, minute-taking with accurate action registers, managing logistics, and ensuring compliance with relevant policies.
Financial administration proficiency — cost centre management, purchase orders and invoicing, budget tracking and reconciliations, expenditure monitoring, and maintaining audit-ready records aligned to organisational protocols.
High digital fluency — advanced Microsoft 365 (Outlook, Word, Excel including formulas/pivots, PowerPoint) plus collaboration platforms (Teams, SharePoint) for scheduling, file management and cross-functional coordination; confident using enterprise and event/booking systems.
Desirable: exposure to business planning and project coordination (timelines, risks, dependencies), experience within a member and/or values-based organisation, and a continuous improvement mindset to streamline processes, templates and administrative workflows.
