Overview
We are seeking a hands-on Agency Management Systems Specialist to play a critical role in onboarding and supporting acquired agencies while ensuring the integrity of financial and operational data across our systems. This role will focus on system integrations, data management, and reporting, requiring both technical expertise in agency management systems (AMS360, Applied Epic, and others) and advanced Microsoft Excel skills.
The ideal candidate is detail-oriented, process-driven, and thrives in a fast-paced, acquisition-driven environment. You will partner closely with our Business Development, Accounting, and Operations teams to ensure smooth agency conversions, optimize AMS functionality, and provide reliable financial data reporting.
Key Responsibilities
Systems Integration & Onboarding
- Lead elements of the integration process for newly acquired agencies, including AMS data entry, employee setup, carrier codes, book of business transfers, and line of business setup.
- Configure and support integrations with Realtime, Ivans (for policy downloads, direct bill commissions, and Edocs), Epay, CSR24, and common PL/CL raters.
- Run test data, validate imports, troubleshoot discrepancies, and manage conversion timelines.
- Ensure accuracy of financial data (commissions, revenue allocations, producer compensation) during conversions.
Data Management & Reporting
- Maintain integrity of financial and operational data within Applied Epic, AMS360, and other systems.
- Build and optimize advanced Excel models for data validation, reconciliation, and reporting.
- Develop and maintain standard reports in AMS (book of business, production, new business, lost business).
- Analyze reporting errors, identify root causes, and implement corrective solutions.
- Set up and manage producer commission schedules and compensation reporting.
Process Improvement & Collaboration
- Serve as a subject-matter expert on AMS functionality and financial data integration.
- Partner with Finance, Accounting, and Operations to improve workflows and reporting accuracy.
- Collaborate with software vendors, managers, and agency principals to optimize technology utilization.
- Mentor and support junior accounting staff to build long-term scalability.
Key Success Factors
- Strong technical ability with advanced Excel skills (pivot tables, lookups, nested formulas, data modeling; Power Query/Power Pivot a plus).
- Analytical and detail-oriented, with a proactive approach to problem-solving.
- Ability to manage multiple integrations simultaneously while meeting tight deadlines.
- Excellent communication and collaboration skills across technical and non-technical stakeholders.
- Adaptability and resilience in a high-growth, entrepreneurial environment.
Required Qualifications
- Bachelor’s degree required (Accounting, Finance, Business, Information Systems, or related field).
- 2+ years’ experience with agency management systems (Applied Epic, AMS360 required).
- Proven success with system integrations, data conversions, or AMS onboarding.
- Advanced proficiency in Microsoft Excel; strong ability to build, audit, and automate reporting models.
- Experience reconciling carrier commission statements and supporting financial reporting a plus.
- Local to the greater Chicago area.
