Job Description:

The CS Administrative Assistant is a key member of the CS Admin team. He/she must follow a strategic plan, which aims at achieving objectives in terms of delivery lead times, repair quality and performance as well as costs.

RESPONSIBILITIES

  • Manage files (registration, 360° video, administrative estimates, invoicing, export ). 
  • Manage the transmission of quotes (via Client Care).
  • Manage ERP transactions related to maintenance orders (registration, administrative estimates, accepting quotes, invoicing, export /shipping).
  • Process requests formulated by internal contact partners (Client Care, Administrative Coordinator) which modify orders to be edited / transmission of new estimates / invoices.
  • Initiate, finalize and bill work orders in the ERP.
  • Follow up on quotes awaiting acceptance.
  • Inform appropriate party in case of any changes (price or repair deadlines.
  • Prepare invoices and documents related to forwarders / brokers.
  • Establish insurance certificates (replacement value) .
  • Generate extracts of register.
  • Analyze and understand requests from contact partners and address them in a way that fulfills their expectations.
  • Perform various administrative activities, which can include the following elements: customs declarations, forwarders/brokers and their invoices, insurance certificates, extracts of register (if applicable).
Qualifications:
  • 3+ years’ administrative experience.
  • Previous ERP experience required (SAP, Oracle, or M3).
  • Advanced MS Excel skills.
  • Ability to work cross functionally across departments and in a team environment.
  • Multi-tasker, with detail oriented skills.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and re-prioritize tasks as needed with strong time-management skills.
Additional Information:

Audemars Piguet offers a competitive and comprehensive compensation and benefits package. This role is eligible for bonus. Salary will be based on relevant skills and experience.
