Job Location:
This role will be 100% onsite in Manhattan, KS.
Clearance:
Must be currently authorized to work in the United States on a full-time basis and have the ability to obtain a Public Trust Clearance.
Job Description:
In this position as an Administrative Assistant supporting a federal agency, you play a vital role in coordinating administrative, financial, and personnel-related activities to ensure smooth and compliant operations. This role requires strong organizational skills, attention to detail, and the ability to manage sensitive information while providing reliable support to both staff and leadership. The specialist serves as a key point of contact for personnel and student appointees, assisting with HR documentation, financial reconciliation, and compliance with federal procedures. In this position, you will also:
- Prepare, review, and process personnel documents (SF-52, SF-50, AD-332) and ensure accuracy before submission.
- Coordinate onboarding and out-processing of employees, issue identification cards, and respond to employment-related inquiries.
- Compile and reconcile financial data to support budget planning, purchase orders, travel vouchers, and contracts.
- Track and maintain employee training records, professional development compliance, and performance review documentation.
- Provide guidance on HR policies, federal benefits, pay, and serve as a resource for office procedures and problem resolution.
- Support the organization’s awards program, student Work Study Program, and outreach to universities.
- Monitor personnel security requirements, including background investigations and reinvestigations, ensuring compliance with standards.
- Ensure IT equipment remains functional, updated, and compliant with access-controlled area requirements.
- Generate reports, develop business plans, and provide advisory support to management officials to improve administrative efficiency.
Required Skills:
- 2+ years of experience with federal HR forms and procedures (e.g., SF-52, SF-50, AD-332) and procurement and requisition processes (e.g., AD-700).
- 2+ years of experience demonstrating excellent written and verbal communication skills and producing accurate financial and administrative documentation.
- 2+ years of experience handling sensitive and confidential information with discretion and ensuring compliance with federal standards.
- Ability to meet all federal conditions of employment.
Desired Skills:
- Prior experience supporting federal agencies with administrative or HR functions.
- Familiarity with federal personnel security protocols, including background investigations and reinvestigations.
- Strong Microsoft Excel skills for data tracking and reporting.
- Proficiency in Microsoft Word and financial management systems.
At Blake Willson Group, we believe in transparency and fairness in compensation practices. For this position, we offer a competitive salary range of $50,000 to $70,000 in the United States. Your individual salary within this range will be determined by various factors, including but not limited to your education, experience, skills, and geographic location.
