Legal Assistant
Position Overview:
We are seeking a highly organized and proactive Legal Assistant to join our team in our Cleveland office, supporting our Ohio practice group.
The ideal candidate will assist in managing administrative projects and workflow, maintaining communication with clients and stakeholders, and supporting attorneys within the practice group. This role requires excellent communication skills, proficiency in office software, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
- Field/screen/direct incoming phone calls, taking accurate messages. Interact professionally with colleagues, clients, other firm professionals, court personnel, co-counsel, etc.
- Phone Vendor POC and main point of support
- Facilitate team member onboarding and offboarding with vendor and the team members supervisor
- Facilitate resolution of firm phone issues (desk/phone/apps) with vendor
- Maintain Firmwide Phone List
- Draft and send basic correspondence.
- Greet clients and other visitors in a professional and service-oriented manner.
- Schedule meetings and events, maintain shared conference room calendar
- Process office mail and express shipments.
- Maintain inventory of office supplies; facilitate paper and recycling efforts.
- Coordinate maintenance and repairs of office equipment, including assessing new equipment and techniques.
- Train new team members on office equipment and phones.
- Accurately open and maintain electronic files in firms’ database
- Manage the appraisal process for the Ohio practice group.
- Process applications for refunds as necessary.
- Process 1st level decisions and appeals to ensure all timelines are met.
- Communicating with county or other governmental entities.
- Assist other members of the Ohio practice support group, as needed.
- Assist attorneys of Ohio practice group, as needed.
- Other duties as assigned.
Skills and Abilities:
- Digital Literacy – Microsoft Office, Word, Excel, information evaluation, communication, security awareness.
- Basic math skills and the ability to convert percentages to decimals and work with fractions.
- Strong attention to detail and organizational skills.
- Comfortable giving and receiving feedback.
- Flexible contributor who thrives in a dynamic environment and readily assists across functions.
- Excellent verbal and written communication skills and ability to interact with diverse client base in a professional and service-oriented manner.
- Comfortable conducting internet research.
- Law firm experience considered a plus
- Real estate/appraisal knowledge or experience considered a plus
Working Conditions/Physical Demands:
- Ability to perform light work, including occasional lifting of up to 20 pounds.
- Manual dexterity to operate standard office equipment.
- Work primarily in a typical office setting.
- Willingness to work more than 35 hours per week during busy periods.
- Please note this role is onsite Monday - Friday 9am - 5pm
