Position Summary
The Executive Assistant to the CEO is responsible for providing direct support to the President and CEO. The individual will be trustworthy, highly professional and possess strong interpersonal skills. The Executive Assistant to the CEO should have a high level of organization and flexibility, maintain strict confidentiality, and exhibit an eagerness and motivation to take on new challenges. This position requires excellent written and verbal communication skills, a proven ability to work independently, and a track record of exercising good judgment. The Executive Assistant to the CEO must be able to operate through the many levels within and outside of the organization. This position requires speed, accuracy and agility as key performance skills in this fast-paced environment and the candidate needs to be familiar with or be able to adapt to this pace.
What We Offer
Responsibilities
- Serve as first point of contact on behalf of the CEO
- Manage and maintain the CEO’s schedule and calendar
- Coordinate intra- and inter- company conference calls and web sessions; provide details to participants in a timely manner
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan distribution
- Prepare reports, memos, letters, and other documents
- Assist with preparation of presentation materials, including financial and productivity reports
- Open, sort, and distribute correspondence
- Maintain information and files in a systematic and orderly fashion that allows for easy retrievl as required
Additional Responsibilities
- Greet visitors (virtually and/or in-person) and determine whether they should be given access to specific individuals within the organization
- Prepare responses to correspondence containing routine inquiries
- Prepare agendas and make arrangements for committee and other meetings
- Attend meetings to record minutes
- Compile, transcribe, and distribute minutes of meetings
- Make travel arrangements
- Other duties as assigned
Skills
Education
Experience
- Bachelor’s degree, or equivalent combination of education and experience required
- 5-7 years’ experience providing high-level executive support
- Demonstrated ability to communicate effective verbally and in writing with individuals at all levels of the organization
- Demonstrated ability to maintain confidentiality in a variety of situations
- Creative, outgoing, energetic person with a demonstrable track record of exceeding goals
- Ability to multi-task in a fast-paced environment
- Solid analytical and problem-solving skills
- Proven knowledge of MS Office products, with advance skill in Excel and PowerPoint required
- Effective organization and time management skills required
- Ability to maintain a professional and cheerful demeanor within the workplace
- Ability to establish and maintain effective working relationships, and act as a positive Company representative
