About Vaxart:

Vaxart is a clinical-stage biotechnology company developing a range of oral recombinant vaccines based on its proprietary delivery platform. Vaxart vaccines are designed to be administered using pills that can be stored and shipped without refrigeration and eliminate the risk of needle-stick injury. Vaxart believes that its proprietary pill vaccine delivery platform is suitable to deliver recombinant vaccines, positioning the company to develop oral versions of currently marketed vaccines and to design recombinant vaccines for new indications. Vaxart’s development programs currently include pill vaccines designed to protect against coronavirus, norovirus and influenza, as well as a therapeutic vaccine for human papillomavirus (HPV), Vaxart’s first immune-oncology indication. Vaxart has filed broad domestic and international patent applications covering its proprietary technology and creations for oral vaccination using adenovirus and TLR3 agonists.

We are looking for a Executive Assistant to join our South San Francisco team. This is an onsite position in our South San Francisco Office.

Summary:
The Executive Assistant (EA) role requires flexibility and the ability to complete various tasks and a wide range of projects to achieve success. This role will report to the SVP of Human Resources to support C-Level executives and drive the administration of day-to-day operations as needed. The EA is expected to handle all duties with a high degree of integrity, professionalism, and confidentiality. Ultimately, the EA will contribute to the efficiency of Vaxart’s business by providing personalized and timely support to executives and board members. The person in this role is highly motivated, takes initiative, and consistently delivers results despite ambiguity at times. This position works in a fast-paced environment and it’s critical they know how to ask the right questions to gain more detail and drive the execution efficiently and successfully.

Responsibilities:
• Available and responsive to the dynamic nature of the business - often extending into non-traditional office hours.
• Manage and prioritize calendars, schedules, and communications for executives.
• Arrange travel schedules that can quickly change and need adjustment.
• Assists with organizing meetings and events.
• May file expense reports and track reimbursement status for executives and board members.
• May coordinate logistics and materials for company and board meetings
• Coordinate with internal and external teams.
• May be responsible for assisting in office duties such as answering phone calls, sending emails, ordering meals and greeting visitors.
• Support ad-hoc requests, often on short notice.
• Upload digital files and data.
• Organizes and archives records and documents.
• Secures and protects the confidentiality of documents.
• Checks and corrects documentation and placement of previously filed documents.

Requirements:

• Associate Degree in Business Administration or related field, or equivalent experience.
• Minimum of 12+ years executive or general administrative experience supporting multiple executives with the ability to prioritize tasks and requests.
• Outstanding organizational and time management skills.
• Executive presence and experience interacting with executives, board members, investors and analysts.
• Excellent interpersonal, verbal, and written communications skills.
• Ability to maintain strict confidentiality and work with limited direction.
• Reliable, adaptable and execution oriented.
• Strong attention to detail with the ability to manage and meet deadlines.
• Technologically savvy and experienced with Microsoft Office Suite applications.


In accordance with California’s Pay Transparency law, Vaxart’s base salary range for this position is approximately $110,000 - $135,000 USD per annually. The actual salary for this role will vary based on a variety of factors including education, job-related knowledge, and experience. This range does not include equity, benefits, bonuses, or other non-monetary compensation which may be included.
