The Advancement Operations and Database Coordinator is responsible for the confidential management of the daily processing of gifts and pledges into the Raiser’s Edge database system while ensuring the production of gift receipts, individualized acknowledgement letters, pledge reminders, and gift reports.  Post batches and serve as a liaison to the Finance Department, with oversight from Director of Advancement Operations.  Assist in maintaining data integrity and adding new information to the database on an ongoing basis. 

ESSENTIAL FUNCTIONS

Gift Processing 

 

  • Process daily lock box direct mail and new donor acquisition, and oversee lockbox email distribution and documentation
  • Process mail, credit card, donor advisory, EFT’s and stock donations. Determine appropriate campaign, fund, appeal and letter type for each gift  
  • Produce various gift-related reports
  • Manage third-party giving and matching gift programs
  • Establish and maintain policies and procedures documentation for gift processes with support from the Director of Advancement Operations
  • Generate donor gift acknowledgment letters
  • Work with outside vendors and agencies to provide necessary information for all donor records and communications

 

Database Support and Maintenance 

 

  • Maintain and update mail appeal codes for constituent records
  • Maintain integrity of database with timely and accurate gift processing of records 
  • Perform regular clean-up of data, including duplicate constituent records, donor addresses, mail preferences and other constituent information.
  • Research donor updates (i.e., relationships, addresses), update donor records as necessary and record documentation of changes 

 

Additional Responsibilities

 

  • Always maintain information in a confidential manner. 
  • Support Advancement leadership in tracking the progress of Raiser’s Edge gift opportunities and action steps.  
  • Conduct proactive research to identify high-capacity donors with interests that overlap with our mission. 
  • Produce research briefings on specific individuals, foundations, and corporations when requested by senior members of the Advancement staff. 
  • Assist other members of the Advancement Operations team with providing regular financial reports on donor activities. 
  • Work collaboratively with a number of internal and external stakeholders.
  • Perform work in an office environment and event function space with prolonged sitting, standing and/or walking. 
  • Maintain professional attitude and appearance
  • Local travel to program sites and offices as needed.
  • Attendance at internal and external meetings and trainings.

 

QUALIFICATIONS

  • Bachelor's degree required with a minimum of 5 years of related experience. 
  • Proficiency in data entry, experience with the Raiser’s Edge is strongly preferred. 
  • Proficiency in Microsoft Office Suite (including mail merge functions) and technology platforms.
  • Self-motivated with the ability to juggle multiple projects and meet deadlines. 
  • Outstanding written communication and analytical, interpersonal, and administrative skills.
  • Ability to push, pull and lift up to 10 pounds. 
  • Ability to work periodic evenings and weekends as needed.
