Job Description:

Essential Duties and Responsibilities: 

Accounts Payable & Vendor Management:

  • Download, organize, and review bank and vendor statements.
  • Process vendor invoices, travel agent commissions, and petty cash vouchers.
  • Match invoices with purchase orders and receiving reports for proper approvals.
  • Ensure timely and accurate payment processing.

Banking & Reconciliation:

  • Download daily bank activity and reconcile against accounting records.
  • Maintain accurate cash records and prepare deposit reconciliations.
  • Support monthly bank and balance sheet reconciliations.

Financial Recordkeeping & Reporting:

  • Maintain organized filing systems (electronic and physical) for financial documents.
  • Assist in preparing reports for management review.
  • Ensure compliance with company policies and accounting standards.

Administrative & Project Support:

  • Support month-end closing activities by preparing journal entries and reconciliations.
  • Assist with audits and provide requested documentation.
  • Perform other accounting duties and special projects as assigned.

Education, Skills and Abilities:

  • Education: Associate’s degree in accounting, Finance, or a related field. Equivalent experience considered. 
  • Experience: 1-2 years in accounting or booking experience, hospitality experience is a plus.
  • Technical Skills: Proficiency in accounting software (e.g., QuickBooks, Oracle) and Microsoft Excel. Experience with hotel management systems (e.g., Opera, Lightspeed) is a plus.
  • Financial Knowledge: Strong understanding of GAAP, financial reporting, and internal controls is a plus.
  • Detail-Oriented & Organized: Strong accuracy and organizational skills with the ability to manage multiple tasks.
  • Communication & Collaboration: Strong interpersonal and teamwork skills to coordinate with property managers, vendors, and the accounting team.

Physical Requirements:

  • Ability to sit for extended periods of time. 
  • Frequent use of hands for typing, writing, and handling office equipment.
  • Occasionally lifting items up to 20lbs.
  • Comfortable working in an office setting with extended screen time.
