JOB FUNCTION: Work in a fast paced mental health agency administrative offices/Children’s Single Point of Access unit performing general administrative duties, including clerical and typing/computer tasks and office support. Assist Director of Children’s Services and CSPOA staff with day to day operations associated with success of department.
ESSENTIAL FUNCTIONS:
- Responsible for answering phones, routing calls, taking messages and responding to frontline inquiries for general information;
- Coordinate administrative requests and track the day-to-day operations of the CSPOA unit;
- Enter applications, transfers, inactivations, assignment forms and other documents in the CSPOA database, including entering notes;
- Maintain CSPOA files and scan for archiving;
- Log, Print and disseminate CSPOA related material to unit staff;
- Heavy filing, scanning, and photocopying;
- Monitor unit supplies and equipment status, alert supervisor as needed;
- Understands and demonstrates a commitment to agency risk management procedures and adheres to HIPAA regulations;
- Utilize the CSPOA access database in a proficient manner;
- Utilize general IT applications (ex/ Word, Excel) pertaining to this job description in a proficient manner;
- Perform all other job duties as assigned.
Qualifications
COMPETENCIES:
- Excellent communication and interpersonal skills, professional demeanor, team-orientation and ability to handle multiple tasks in a fast paced environment;
- Excellent organizational skills and follow-up skills with ability to multi-task.
- Efficient time management with accuracy and attention to detail;
- Proficiency in Microsoft Office including Word and Excel, Outlook and access database for CSPOA;
- High school diploma required
