Executive Assistant
Full time, office-based, Mumbai, IN
The Executive Assistant supports senior leaders (MD / Sr. Director / General Manager) by relieving them of administrative functions and enabling greater focus on strategic management responsibilities. This role involves handling highly confidential, time-sensitive information and serving as the first point of contact with internal executives, employees, clients, and external stakeholders. You will oversee reporting, tracking, communications, and project activities critical to the smooth functioning of leadership operations.
As an Executive Assistant, you will

Manage calendars, meetings, calls, and emails to ensure leadership priorities are met.

Coordinate scheduling of internal and external meetings, events, agendas, and minutes.

Handle visa/passport preparation, travel bookings, itineraries, and supporting documentation.

Collect and consolidate financial P&Ls for departments managed by leadership.

Assist with expense reports, approvals, and financial variance communication.

Prepare and circulate internal/external communications, including newsletters and bulletins.

Coordinate promotional events and manage relationships with sports & entertainment partners.

Track and report client contractual measurements monthly and compile KPI reports.

Prepare presentations independently or in collaboration with Marketing.

Monitor legal documentation deadlines and provide support to the Legal group.

Serve as the liaison for leadership communications and support employees with information flow.
About you

Minimum 7+ years of experience as an Executive Assistant supporting senior leadership.

Strong administrative or business management background.

Proficiency in Microsoft Office Suite (PowerPoint, Outlook, Excel, Word).

Excellent business English – spoken and written.

Strong judgment in managing confidential information and communications across all organizational levels.

Knowledge of internet search processes and applications.
-
Ability to work under pressure, manage deadlines, and handle multiple priorities.

Previous international business or travel industry experience is a strong plus.
