Job DescriptionThe Senior Specialist, School Operations plays a critical role in ensuring the smooth, efficient, and safe operation of our school-based services. This role oversees day-to-day operations, including staff scheduling and coverage, student session coordination, administrative support, and compliance management. The ideal candidate is organized, proactive, and able to lead through influence and collaboration, providing feedback and support to staff while ensuring operational excellence.This position reports to the Managing Director, Post-Launch Operations with additional oversight from the Region Clinical Director of School Services. Availability Requirement: Generally, 7am – 4pm PST M- F (Hybrid – In office/Remote) Salary Range: $70k-$75k annually Primary Responsibilities:Support school operations as needed, maintaining flexibility in schedule to meet project deadlines and other business needs.This includes being available during evenings and weekends when necessary and maintaining open communication to ensure proper coverage and continuity of operations. Manage School Care Coordinators in processing daily and weekly staff coverage, including cancellations, to ensure continuity of student services. Review cancellation and utilization data to identify trends, assess operational impact, and generate actionable insights for leadership and clinical teams. Collaborate with corporate operations teams to ensure accurate and timely updates. Coordinate staff tablets and other IT equipment for school personnel. Participate in the implementation and evaluation of innovative technology (e.g., Salesforce, CentralReach, Vonage), providing frequent and constructive feedback. Process requests for physical school supplies and stimuli. Coordinate name badge distribution with local centers. Hire and manage School Coverage Behavior Technicians and School Care Coordinators. Partner with the Regional Clinical Director of School Services to ensure a high level of customer satisfaction from school districts, caregivers, and clinical teams. Collaborate with Regional Operations and Marketing Teams to conduct district-level outreach and recruitment campaigns. Help plan and execute seasonal events (e.g., school team trainings, staff appreciation events, etc.). Hybrid position — must be willing to travel and provide in-person support to school personnel during training days or as needed. Positions Supervised (Direct Reports):School Coverage Behavior Technician (CBT) School Care Coordinators Minimum Qualifications:High School diploma required; bachelor’s degree preferred. 2+ years of office management or coordination experience in a healthcare or educational setting. Experience with scheduling and operational oversight preferred. Skills, Abilities, and Other Requirements:Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Excellent interpersonal skills Strong organizational and planning skills Proficient in Microsoft Office Suite and/or equivalent Exceptional communication and leadership skills that foster the skills necessary to educate, train, motivate, empower, reinforce, influence, coach, provide feedback, and effectively execute conflict resolution Demonstrate high commitment to excellent customer service Travel to multiple work sites both locally and within assigned region(s) regularly; reliable transportation needed; proof of valid driver’s license, current auto insurance identification card and registration Maintain required trainings. May include state and funding specific trainings Must clear DOJ/FBI background check and exclusion screening process, prior to and during employment Must provide proof of absence of Tuberculosis (TB) at time of hire and every 4 years, or sooner as required by funding sources, from last negative TB reading, and any additional follow-up testing.
