GENERAL PURPOSE
Supports the day-to-day operations of the office, providing essential administrative assistant to staff, advisors, and students. The ideal candidate will be a tech-savvy team player with excellent organizational and communication skills who is passionate about student service and academic success in a mission-driven, student-centered environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serves as the primary point of contact for students, visitors, and university personnel, providing prompt and courteous assistance via phone, email, and in-person interactions. Apply working knowledge of PowerFaids to locate and interpret student financial aid packages and provide basic guidance regarding documentation and deadlines. Demonstrate in-depth knowledge of the Jenzabar system, including accessing student records, advisor assignments, and generating reports as needed. Assist in the preparation and dissemination of departmental reports using Infomaker and SLATE. Generating reports, organizing data, and extracting relevant information as needed.
- Prepare and distribute the SSC Weekly newsletter, highlighting important deadlines, registration holds, and other student-related updates.
- Support student engagement and retention efforts through targeted outreach via phone, email, and text using Text Magic; track and document all outreach activities as well as generating reports and extracting relevant information as needed.
- Monitor office supply levels and maintain inventory to ensure adequate stock and smooth daily operations. Coordinate appointment scheduling and manage academic advisor calendars utilizing Acuity scheduling software.
- Provide logistical support for departmental events, including scheduling venues through AdAstra and coordinating catering and other event-related needs.
- Supervise Federal Work-Study student employees, including organizing materials and resources for new student registration.
REQUIRED MINIMUM QUALIFICATIONS
- Some College
- 1 to 3 years of work related experience
- Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Infomaker and Powerfaids
- Jenzabar Software
RESPONSIBILITY FOR PUBLIC CONTACT
- Daily contact requiring courtesy, discretion, and sound judgment.
SALARY INFORMATION
When determining the salary offer for a new employee, Molloy considers several key characteristics such as job knowledge, skills, and experience as well as internal and external equity. The hiring hourly range for this position is $20.00 to $22.00. This hourly rate represents the University's good faith and reasonable estimate of the range of compensation at the time of posting.
