POSITION SUMMARY

The Assistant Registrar supports the Registrar in managing all aspects of student records and academic operations for Hudson Global Scholars. This role is responsible for coordinating transcript, diploma, and report card production and distribution, verifying graduation requirements, supporting course scheduling, assisting with policies, processes, and tools, and maintaining student information system accuracy. The Assistant Registrar will serve as a primary on-site resource in Columbia, Maryland, ensuring timely, accurate, and compliant student records processes, while also supporting registrar responsibilities to ensure smooth operations when the Registrar is out or otherwise unavailable.

The functions and responsibilities for this position include, but are not limited to:

  • Maintain and update official student records, including transcripts, grades, diplomas, registration data, and transfer information.

  • Conduct transcript evaluations and award credits toward diploma completion.

  • Verify graduation requirements and prepare graduation audits.

  • Coordinate production and distribution of transcripts, diplomas, and report cards.

  • Support course scheduling, section creation, and roster management.

  • Maintain the academic calendar for partner schools to ensure alignment with internal teams and administrators.

  • Provide progress and completion reports to partner schools.

  • Respond to inquiries from students, families, partner schools, and staff regarding academic records, graduation, and enrollment.

  • Provide guidance to faculty, students, and administrators regarding registrar policies and processes.

  • Collaborate with program managers and operations staff on the implementation of new school partners.

  • Maintain data integrity within the student record systems.

  • Ensure compliance with student privacy, accreditation requirements, and institutional policies.

  • Generate operational reports and support audits of student records.

  • Identify opportunities to improve workflows and strengthen consistency in registrar operations.

  • Support the Registrar in leading cross-functional initiatives to enhance student services and record accuracy.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS

Required Qualifications:

  • Bachelor’s degree.

  • 3 years of experience in registrar operations, academic records, or related K–12/higher education administration.

  • Experience with transcript administration, graduation audits, and course scheduling.

  • Proficiency with Microsoft Office Suite, Adobe Pro, and student information systems.

  • Strong organizational, problem-solving, and attention-to-detail skills.

  • Excellent communication and customer service skills, with the ability to interact effectively with students, families, faculty, and school partners.

  • Experience with international student records and U.S. credit equivalency.

  • Must reside within commuting distance of Columbia, Maryland.

Preferred Qualifications

  • Master’s degree.

  • Experience with online or blended learning environments.

  • Ability to adapt quickly and manage high-volume workloads efficiently.
