Job Summary
We are seeking to fill a critical role in the marketing group as an events coordinator. This position reports to the events director. The role of an events coordinator is to assist the events director with the administration involved with events and helping to show the value of events within the corporate marketing mix.
Essential Duties and Responsibilities
- Assist with planning and execution of local, regional and national events which includes coordination with the Outreach team member participating in the event
- Manage details of events including registration, payment processing, staffing, reminder communication, shipping of event kit materials and giveaways and collecting summary information
- Assist with coordination of Walks4Hearing, Provider events, veteran events, senior events, health fairs
- Coordinate with event organizers to confirm participation details and associated costs
- Collecting, reporting and tracking of event data, expenses and leads
- Analyze data as it relates to leads, costs and purchases
- Assist with purchasing shipping materials and shipping event materials
- Using the FedEx portal for shipments
- Update training manuals for sales team
- Other event and marketing duties as assigned
Supervisory Responsibility
This position has no supervisory responsibilities.
Travel Requirements
Travel Requirements: Less than 25%
Education
Minimum:
- 2 Year/Associate Degree in a related field such as Hospitality Management or Event/Meeting Planning.
Preferred:
- 4 Year/Bachelor’s Degree in a business-related field
Preferred
Certification
Certified meeting professional (CMP) designation would be helpful.
Experience
Minimum Years of Experience:
- 3 related marketing event experience
Knowledge, Skills, and Abilities
- Strong communication skills via phone, email and in person
- Proficient with Microsoft Office Suite
- Experience with survey collection sites such as Qualtrics or Sharepoint
- Experience setting up virtual events and booths on various platforms such as vFairs, Whova, Engagez, Intrado and others
- Highly organized and detail-oriented
- Ability to coordinate projects across teams and departments
- Discretion with personal and confidential information
- Good judgement and ability to research options within short timeframes
Working Conditions and Physical Requirements
Able to sit/ stand for a long periods of time in an office environment or tradeshow floor
Dexterity of hands and fingers to operate a computer keyboard, mouse, tools, and to handle other computer components
Able to lift a minimum of 50 lbs.
Regular and predictable attendance required.
