Major/Essential Functions
- Oversee daily administrative operations to include the direct supervision of administrative support staff.
- Review activities and make recommendations for change in, or better utilization of existing facilities, services and staff.
- Project future needs, facilitate transition(s) as department continues to grow and diversify. Address and resolve operational concerns/issues
- Responsible for posting and processing of job vacancies, appointment of new employees and termination of existing employees.
- Assists the Administrator in coordination of special projects and functions associated with the Department.
- Serve as the primary resource for faculty recruitment, evaluation, classification/reclassification, retention, and promotional efforts. Employee is responsible for placing recruitment ads in the trade journals and managing. Will be directly responsible and administer the EEO certification, credentialing process and CFAPTA packet.
- Prepares P.O.’s, receiving reports, travel applications, and vouchers, adhering to TTUHSC policy requirements. Employee will also supervise, train and ensure that all administrative staff adhering to TTUHSC policy requirement for preparing P.O.’s, receiving reports, travel applications, and vouchers. Prepare and submit Faculty Personnel Action Forms (PAFs), (EOPs), Additional Compensation, Special Augmentations, Overload payment as directed by Department Administrator.
- Serves as back-up for Department Administrator in their absence to include attending various administrative meetings, handling personnel issues, and all other matters as necessary.
- Responsible for Faculty leave - reviews, audits and submits faculty sick leave pool, leave balances, FMLA, month end processing, compliance of PTO leave. Supervises the coordination, monitoring, and analysis of practitioner/faculty credentialing applications eligibility. Monitors the initial, reappointment and terminating process for all medical professional staff, and delegated providers, ensuring compliance with regulatory bodies.
- Supervises Sr. Medical Secretary by proving guidance, support, and monitors completion of duties and work performance.
- In conjunction with the department chair and clinical department administrator, work to develop and implement long-and short-range strategic plans.
- In collaboration with the Human Resources Department participate in the selection of administrative support personnel, training, performance evaluation, promotion, disciplinary action, and staffing projections for non-faculty positions.
- Assists Chair in performing specialized work in the planning, conducting and/or supervising of research projects.
- Analyzes, develops and creates department budget collects data and statistics for budgetary purpose.
- Plans, coordinates and directs broad and complex financial and management functions for the department.
- Other duties as assigned by administrator within the scope of position following TTUHSC policies and procedures in order to meet the goals and objectives of the department.
- Analyze and develop data to maintain weekly, monthly and annual reports to monitor activities in the department.
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
- Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution.

Preferred Qualifications
- Advanced skills in organization, planning, interpersonal relations, familiar with clinical operations and objectives.
- Overall understanding of other departments.
- Reviews and improves the operational interface between other ancillary and clinical departments, to include the Pathology Administrative Office.
- Bachelors Degree in related area preferred or higher.
