We are a small but mighty, well-financed team dedicated to proving the effectiveness of our innovative, life-enhancing, lifesaving therapy. 4C Medical Technologies, Inc., located in Maple Grove, MN, is pioneering the next generation of transcatheter mitral valve replacement (TMVR) technology. Our Alta Valve is currently in the clinical trial phase of FDA approval.


Job Overview

We’re looking for a Senior Administrative Assistant who thrives on keeping fast-moving leaders and teams organized, prepared, and focused.


This role is about providing administrative support that enables the Clinical team to stay laser-focused on advancing our trial. You’ll manage logistics, anticipate needs, and represent the team with professionalism in every interaction, both inside the company and with our external partners. If you have a high sense of urgency, attention to detail, and love making things run smoothly, this is the role for you.


Primary Responsibilities

  • Partner with Clinical leadership to keep meetings, priorities, and deliverables organized and on track.
  • Manage calendars, schedule complex meetings, and coordinate internal/external communications.
  • Arrange travel and logistics as needed for Clinical team members and external stakeholders (physicians, site staff, investigators, etc.).
  • Plan and execute offsite events, including trainings, dinners, and investigator meetings.
  • Facilitate expense reporting and reimbursement processing accurately and on time.
  • Assist with administrative tasks related to the clinical trial as needed (e.g., document preparation and organization, tracking, communications, presentation preparation).
  • Anticipate needs and proactively recommend ways to simplify processes, save time, and reduce administrative burden for others.
  • Serve as a reliable point of contact and support, ensuring all interactions reflect professionalism and care.

Requirements

Qualifications

  • 5+ years of administrative experience supporting senior leaders and their teams, ideally in healthcare, life sciences, or a fast-paced environment.
  • Strong organizational and project management skills with the ability to juggle multiple priorities.
  • Excellent written and verbal communication skills; comfortable interacting with vendors and external partners when needed.
  • Proven track record of handling sensitive information with discretion.
  • Proficiency in Microsoft Office Suite and collaboration tools (Outlook, Teams, Word, Excel, PowerPoint, etc.).
  • Experience in managing domestic and international travel arrangements is a must.
  • Experience planning and executing events, meetings and travel across multiple time zones and unfamiliar destinations.
