As a Records Program Specialist, you will support the Port’s records management program, which ensures compliance with state retention requirements and supports departments in managing both digital and physical records.
- You will facilitate the overall structure and day-to-day operations of enterprise-wide records management to ensure a high level of quality and compliance with RCW 40.14 and Port Policies.
- You will create and maintain documentation for Records Program processes and maintain document libraries for Records Program documents.
- You will ensure compliance with policies and procedures for document retention and disposition and determining records identification per the Washington State CORE retention schedule for information management and storage.
- You will work with stakeholders across Port departments to ensure that best practices for records management-related matters are implemented and followed. You will also serve as a point of contact for questions related to records retention and destruction.
- You will assist in the administration of Port records management systems such as Record Center, Microsoft Purview retention labels, Microsoft Purview eDiscovery, and SharePoint.
- You will train and advise staff in procedures for organizing, retaining, and disposing of records.
- You will manage physical record movement between off-site storage and Port offices and coordinate destruction of records past retention period.

- Experienced – You have two (2) years of experience in records management or records administration at a public agency
- Desired – We hope you have experience with Microsoft Purview Records Management and eDiscovery modules, experience as a SharePoint site owner and a strong understanding of public disclosure laws.

- Adaptable – You can work independently and identify and initiate process improvements and projects. You are adept at learning and applying new technologies for records management and can instruct and coach others on technology use and application.

- Work Schedule – Your normal work schedule will be Monday – Friday, 8:00 a.m. to 5:00 p.m. (40 hours per week). Slightly more flexible start and end times are available in this role.
- Work Environment - This work will take place in a hybrid/in-office setting at Management’s discretion.
- Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.
- Security Requirements – As the successful candidate, you must pass a Transportation Security Administration (TSA) background check as well as a criminal history background check with the Federal Bureau of Investigation (FBI). Your employment will be contingent upon obtaining a Port of Seattle ID badge upon clearance.
- Overtime Eligible – You are eligible for overtime pay in this role.
