POSITION OVERVIEW

Provide administrative assistance to the Vice President, Supply Chain Management to facilitate the effective and efficient operations of their department. The Senior Administrative Assistant must be detail-oriented and comfortable functioning in a challenging, demanding, and fast-paced environment.

 

 

RESPONSIBILITIES AND ESSENTIAL DUTIES

  • Administrative support to the Vice President, Supply Chain Management including the Supply Chain Leadership Team. 

  • Assist with annual business planning process including reporting.

  • Create and edit executive presentations and internal communications.

  • Supports organizational culture improvements.

  • Maintain internal and external stakeholder engagement plans.

  • Coordination of events and meetings including required IT connectivity and logistics across multiple Company locations.

  • Handles all tasks and issues with a high degree of confidentiality and accuracy.

  • Provides general office duties, including but not limited to scheduling/calendaring, maintaining files and spreadsheets, processing of invoices and expense reports, ordering supplies, and maintaining contact lists.

  • Proactively maintains business schedules by planning and scheduling meetings both domestically and internationally, including conferences, teleconferences, and travel arrangements.

  • Produces and ensures written materials prepared are complete by proofreading, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Maintains a flexible and adaptive schedule (e.g. start early or stay late if required to complete work).

  • Builds sound relationships internally and externally to complete required accountabilities

  • Acts with good judgment and is a team player with the ability to meet deadlines.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Coordinates/assists with luncheons, room preparation, logistics, and materials needed for meetings and project schedules.

  • Opens, sorts, and distributes incoming correspondence. 

  • Supports preparation efforts related to Board meetings and materials.

  • Provides assistance with special projects.

KNOWLEDGE AND SKILLS

 

Knowledge: 

Advanced knowledge of all Microsoft Office systems including Outlook, Excel, Word, and PowerPoint. The ideal candidate is interested in learning and developing new skills. 

Skills:

  • Excellent communication skills, both written and verbal with the ability to work with all levels of management and employees.

  • Strong and effective organizational skills, attention to detail and ability to handle multiple tasks.

  • Effective time management skills.
  • Proficiency in all Microsoft Office Software, especially Outlook, Word, and Excel.
  • Knowledge of scanning devices and PDF files.

 

EDUCATION AND EXPERIENCE

  • Education and Certifications: Bachelor’s or Associate’s degree preferred. Equivalent combination of education and experience may be considered in lieu of degree. Certified Administrative Professional (CAP) or similar certification is a plus. 
  • Experience:  Five (5) or more years of experience in an administrative support function is required.  Experience working in a corporate shared services function is preferred.

WORK CONDITIONS

  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others. 

  • Occasionally, work may be performed from home, after normal work hours or on weekends. 

  • May be required to work overtime, with manager approval. 

  • Subject to drug and alcohol testing, per applicable federal regulations or as required by Cheniere.
