About the Role

As a Fleet Operations Coordinator, you’ll support the Fleet Manager with administrative and operational tasks, ensuring compliance, safety, and efficiency in a fast-paced environment.

Key Responsibilities
  • Process and track invoices, bills, and payments for the fleet department.
  • Maintain organized filing systems for fleet documents, reports, and compliance records.
  • Monitor hazardous operations (HAZOPs) to ensure safety and compliance.
  • Manage PPE inventory and order replenishments as needed.
  • Track training assignments and completion via Percipio or similar platforms.
  • Oversee transport schedules and related reporting.
  • Generate, review, and ensure accuracy of operational reports.
  • Assist with additional projects and administrative tasks as assigned.
Qualifications
  • 2–5 years of experience in administrative, operations, or fleet management support.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook), including mid-level Excel skills (formulas, pivot tables).
  • Strong organizational, multitasking, and communication skills (written and verbal).
  • Ability to work independently and prioritize tasks effectively.
  • Knowledge of safety compliance or fleet operations is a plus.
  • Familiarity with auto industry incentive programs and production scheduling preferred.
Key Interactions
  • Collaborate with vendors (Fleet Management Company, Vehicle Manufacturers, Equipment Outfitters).
  • Engage with client business group leaders, regional operations managers, facility managers, and technicians.
  • Promote a culture of safety by providing drivers with guidance for safe vehicle operation.
