We are seeking a versatile Office Support Specialist to join our team full-time and contribute to the operations in the Clerk's office and provide administrative support to the Fire Department. This position requires someone with a diverse set of skills to effectively manage a variety of administrative tasks and support office operations, including but not limited to:

  • General administrative support, such as data entry, preparing documents and reports, issuing licenses, handling mail, managing supplies, and similar functions as required for each department.
  • Customer service including answering phones and greeting visitors at public-facing counters; responding to email and other correspondence.
  • Attend meetings and prepare minutes.
  • Maintain electronic and physical filing systems.
  • Respond to inquiries and resolve issues promptly and professionally.
  • Assist with elections and tax collection.
  • Maintain Fire Department schedule and coordinate overtime coverage. 
  • Respond to public records requests.
  • Contribute to process improvements and efficiency initiatives.
  • Cross train in and provide back up to several different positions.

Qualifications:

  • Proven experience in an office support role or similar position.
  • Strong customer service skills to support internal and external customers.
  • Proficient in data entry and management; transcription experience a plus.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and a variety of software programs; comfortable learning new software and tools; intermediate or advanced Excel skills preferred.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Basic accounting skills are a plus.
