Summary
The Office Assistant supports the People Operations / Human Resources team while providing administrative support across the organization. This role combines traditional office responsibilities with opportunities to contribute to HR, employee training, and workplace safety programs—helping OIC foster a professional, safe, and employee-focused environment.
Key Responsibilities:
Administrative & Office Support
- Serve as the first point of contact for employees, visitors, and vendors, maintaining a professional and welcoming environment.
- Manage reception responsibilities including phone calls, mail, and scheduling.
- Perform clerical duties such as filing, photocopying, scanning, and data entry.
- Assist with office equipment, supply management, and organization of office facilities.
HR & People Operations Support
- Provide administrative support to the HR Manager and People Operations team.
- Assist with new hire onboarding including preparing orientation materials, scheduling, and employee setup.
- Maintain confidential employee files, HR records, and training logs.
- Support recruitment activities including posting positions, scheduling interviews, and coordinating candidate communication.
- Assist with employee engagement activities and HR projects.
Training & Safety Support
- Help coordinate employee training sessions, orientations, and workshops.
- Track training participation and maintain compliance documentation.
- Support OIC’s workplace safety initiatives, including scheduling safety meetings, drills, and maintaining records.
- Assist in monitoring compliance with food safety and OSHA requirements.
- Report safety concerns to leadership and support corrective actions.
Collaboration
- Partner with the Office Resource Manager, HR team, and other leaders to ensure smooth operations.
- Participate in special projects and continuous improvement initiatives.
- Perform other duties as assigned to support the goals of the company.
Qualifications
- High School diploma or equivalent; coursework in HR, business, or administration preferred.
- At least two years of administrative, office, or HR support experience.
- Proficiency with Microsoft Office Suite; HRIS or safety management system experience a plus.
- Strong organizational and time management skills.
- Ability to handle sensitive information with confidentiality.
- Friendly, professional communication style with strong interpersonal skills.
