STARTING PAY: $19.84/HR and up, depending on experience
 
THIS POSITION IS DAY SHIFT: MONDAY - FRIDAY, 7:00AM -3:30PM.
 
SIGN-ON BONUS OFFERED!:  $500 after 90 days, $1,000 after 180 days totaling $1,500.00*

 Job Summary:
 
The administrative assistant provides overall administrative support for general plant operations and all departments within the scope of the plant. This role will be responsible for preparing various documents, reports, supporting multiple departments, as well as buying/purchasing and scheduling duties, and ensuring smooth operations within the plant. 
 
 

DUTIES AND RESPONSIBILITIES:  

  • Greets and directs clients and applicants, makes sure they are signed in and announces their arrival to the appropriate parties

  • Fields telephone calls and takes and receives messages for supervisors and management  

  • Sorts, screens and distributes incoming mail and faxes as well as processes outgoing mail
  • Creates and edits documents, performs data entry  

  • Orders office supplies as needed or requested  

  • Reconciles and processes all PO’s and purchasing for the entire plant   

  • Point of contact for scheduling, purchasing and reconciling janitorial, uniform and vending services and other frequent vendors including PPE.

  • Responsible for the overall cleanliness and organization of the office area including the availability of office supplies, branded items, employee and visitor food and catering services.
  • With direction, supports and coordinates employee activities and events including training, audits, tour engagements, recognition, orientations, etc. 
  • Coordinates and schedules daily, weekly and monthly production meetings and coordinates and updates any associated reports for staff
  • Actively participate in all plant activities including training, safety, continuous improvement, etc. 
  • Assist Plant Manager and other departments as needed  

 

EDUCATIONAL AND/OR EXPERIENCE REQUIREMENTS:  

  • Must be fluent in English, bi-lingual a plus!
  • Basic experience in purchasing, bookkeeping and scheduling either manually or with electronic systems.
  • Reading, writing, and mathematical competency  

  • 1-3 years experience as receptionist or administrative assistant  

  • Warehouse/Manufacturing experience preferred
  • Excellent computer skills (MS Office) required  

  • Excellent communication skills: Will be interacting with internal and external departments, employees and clients on a regular basis
  • Must be flexible and able to adapt to a fast-paced setting
  • Demonstrate excellent organizational skills and attention to detail

  • Ability to prioritize, multi-task and work under deadlines

  • Phone skills: Multi-line phone, transferring calls and paging  

  

OCCUPATIONAL AND/OR PHYSICAL REQUIREMENTS:  

  • Good interpersonal and communication skills  

  • Strong multitasking and organizational skills   

  • Requires the use of rational and logical analysis skills with the ability to withstand frequent interruptions to workflow  

  • Ability to interact with all levels of the organization in a professional manner  

  • Ability to work independently  

  • Sitting, standing and walking on hard and/or uneven surfaces in all types of weather for the duration of the shift.  

  • Lift, carry and/or maneuver up to 50 lbs. on occasion

  • Comfortable wearing the proper PPE while out on the production floor
  • Repetitive use of keyboard and mouse to operate computer to perform required tasks 

     
    WORKING CONDITIONS:
     
    Fast paced manufacturing environment

     

  • Ability to spend time in the office area and on the production floor, when necessary
  • May be exposed to frequent loud noises and weather conditions while on the plant floor
  • Primarily office based but may spend occasional time on the plant floor and be able to support all areas of the plant
     
     
     
    *Tuition reimbursement you must be a full-time employee and complete one continuous year of employment. You will receive $5,000 a year for undergrad and $7,500 a year for grad.**

    “The compensation for this position is typically $19.84/Hour. The actual base pay offered to the successful candidate will be based on multiple factors, including but not limited to jobrelated knowledge/skills, experience, geographical location, and internal equity. The compensation package may also include short and long-term incentive compensation.
