Position Summary:

Performs patient registration duties for the Emergency Department, Observation, Inpatient and Swingbed admissions, ensuring that all applicable demographic, guarantor, contact, privacy and financial information and insurance information is captured in compliance with Medicare/Medicaid and other payor regulations. Acts as liaison with patient family members or responsible party. Performs Business Office and nursing support duties and any other duties requested by supervisor.


Duties, Responsibilities, and Skills

  • Processes Admissions / Patient Registration
  • Registration clerks are the first impression of the facility that ER patients and family members experience. ER registration clerks will be mindful of staying in the Registration area to ensure all patients and family members are greeted upon arrival and will assist the patient and family members in a polite and professional manner.
  • Secures necessary information from patients and responsible parties by following patient identification procedures to ensure correct patient is selected. 
  • Verifies demographic, guarantor, emergency contacts, privacy and insurance information are correct, obtains copy of patient ID and current insurance cards; captures patient signature as applicable. 
  • Follows procedure in obtaining information from patients related to Advanced Directives and provides patients with Advanced Directive packet when warranted. 
  • Verifies patient has received HIPAA Notice of Privacy Practices as required.  
  • In accordance with EMTALA, performs financial counseling after treatment at time of discharge and alerts patient as necessary if insurance is out-of-network, collects co-pay amounts as appropriate, and follows hospital’s self-pay policy for collections.  
  • Ensures all admissions are discharged with appropriate discharge status and ensures ER log is complete and accurate and complete.  
  •  Clerical Duties
  • Performs all clerical duties required including scanning documents timely, gathering medical records for transfers, attempting to acquire medical records as needed by treating physicians, prints and confirms night report is accurate. 
  • Collects patient portion at time of service and/or directs patient to collections for acceptable payment arrangements. 
  • Ensures payments are documented properly in receipt book and secured in the locked cash box.
  • Maintains an uncluttered work area that is presentable to the public, assist with technical and facility related issues by contacting appropriate staff. 


General:

  • Maintain HIPAA required and all other confidentiality while working with confidential matters on a daily basis. 
  • Follow all policies and procedures set forth by Heart of Texas Healthcare System. 
  • Other duties, as assigned by supervisor. 
  • Interacts with patient, Medical Staff, family, employees, and other departments in a considerate, helpful and courteous manner as observed by Nurse Manager and peers.
  • Fosters mature professional relationship with fellow employees in a courteous friendly manner as measured by management observation and peer input.
  • Attends required training, staff meetings, committee meetings and completes yearly staff training. 
  • Answers phone calls promptly and courteously when the primary receptionist is not available or is already engaged in a telephone conversation or other duty. 
  • Community Service

Requirements

Qualifications & Education:

  • Education: High School graduate or equivalent.
  • Personal Job-Related Skills: Typing speed of 45 wpm. Familiar with operating personal computers and knowledge of general clerical duties. Medical terminology experience preferred.
  • Licensure, Registry or Certification: BLS certification preferred. 
  • Experience: One-year office experience preferably in a medical setting desired but not required. 


Physical/Mental Requirements:

  • Must be able to move intermittently throughout the workday. 
  • Must be able to stand and sit for extended periods of time. 
  • Must be able to bend, squat, push, stoop, lift and pull as needed especially in fulfilling job responsibilities. 
  • Must be able to comprehend and follow routine written or verbal instructions or directions. 
  • Must be able to multitask and work in a fast-paced environment. 
  • Must be able to work well with different types of personalities. 


Work Schedule:

  • Rotating Schedule
  • Day Shift: 06:45-19:15
  • Night Shift: 18:45-07:15
  • 30-minute lunch break
