About the Department
The Management Assistant, reporting to the Director of Administrative Services, provides administrative, analytical, and project management support for all functions of the Administrative Services Department. This position also assists with the Town’s strategic planning and performance measurement efforts, manages and tracks Town Manager and Town Council goals, and coordinates the implementation of townwide programs and initiatives. Working across all departments, the Management Assistant facilitates communication, monitors progress on cross-departmental projects, and ensures alignment with organizational priorities. The role also carries out departmental administrative functions and contributes to both departmental and organization-wide initiatives to enhance efficiency, service delivery, and community engagement.
Starting Salary up to $62K annually
Position Duties
- Provide administrative, analytical, and project management support to the Director of Administrative Services, department staff, and the Town Manager.
- Assist with the development, tracking, and reporting of Town Manager and Town Council goals.
- Coordinate and monitor the implementation of townwide programs, initiatives, and cross-departmental projects.
- Collect, compile, analyze and research information from various sources on a variety of topics related to assigned programs or projects.
- Support the Town’s strategic planning and performance measurement efforts, including data collection, analysis, and reporting.
- Assist in tracking the Town’s Capital Improvement Program (CIP), including monitoring project timelines, status, and progress updates.
- Serve as a liaison between the Administrative Services Department and other Town departments to ensure effective communication and collaboration.
- Research and compile information, prepare reports, correspondence, and presentations for internal and external stakeholders.
- Assist in developing and implementing policies, procedures, and process improvements to enhance efficiency and service delivery.
- Manage scheduling, meeting preparation, and follow-up for departmental and cross-departmental activities.
- Provide customer service to employees and the public by greeting customers, answering the telephone, responding to questions and assisting the public.
- Assist with preparation and research of Council agenda items, briefings, and special projects
- Attend Town Council or other meetings of appointed boards as necessary or directed and make presentations as necessary.
- Support special projects, events, and community engagement efforts as assigned.
- Maintain accurate records, files, and databases related to departmental and townwide initiatives.
Minimum Qualifications
- Must have basic knowledge of professional managerial principles, concepts, theories and other techniques of management
- Has appropriate knowledge for professional assistance to Town management and staff on assigned programs and activities
- Has basic knowledge of municipal governance system and relation to State and federal governance
- Excellent written and oral communication skills, including good interpersonal skills
- Proficiency in use of personal computers, with experience using MS Office applications
- Interacts professionally with the public and public officials
- Intermediate mathematical skills dealing with practical application of fractions, percentages, ratios, proportions and measurement
- Ability to understand, interpret and apply principles, laws, ordinances, policies and procedures involved in specific vocational, administrative, or technical nature
- Ability to analyze data and make sound conclusions
- Ability to interpret and apply policies and procedures
- Ability to convey facts and recommendations relating to assigned projects and activities in a concise way through verbal and written communication
- High School Diploma or GED
- Bachelor’s degree
- Master’s degree in public administration preferred
- Two years experience in professional work environment (master’s degree may be substituted in lieu of)
- Valid Texas Drivers License
