Salary: $43,716 - $58,380

Olympic College is recruiting for a Program Specialist 2. The Program Specialist 2 provides administrative and operational assistance to Instructional Support Services, ensuring smooth and efficient course schedule management. They collaborate closely with division staff and the ABO to ensure the timely generation of faculty workload contracts.

Position Duties

Coordinate class schedule entry process; participate in establishing program standards.

  • Enter and maintain accurate class schedules within ctcLink.
  • Troubleshoot and resolve scheduling conflicts and errors.
  • In coordination with the director of ISS and division deans, continuously review and adjust the class schedule to optimize course sequencing, minimize conflicts, and enhance the student experience. 
  • Attend scheduling meetings and assist division leadership in gathering scheduling requirements from multiple stakeholders; schedule events for the division and faculty as needed.
Coordinate and enter faculty assignments.
  • Work closely with division deans to assign faculty members to schedule.
  • Coordinate with division deans and unit fiscal specialists to allocate faculty assignments correctly considering workload, contract type, availability, and program needs.
  • Accurately choose correct employee record and associated budget.
  • Add and update faculty assignments to class schedule within ctcLink.
  • Coordinate with ABO as needed to ensure timely generation of Faculty workload contracts.
Monitor program activities in relation to established program goals within established program parameters, determine variances from program standards.
  • Utilize ctcLink and spreadsheets to facilitate the scheduling process, track course and instructor data and generate reports. 
  • Run class enrollment reports and transform data to aid division leadership in schedule monitoring and planning.
  • Disseminate reports related to scheduling and enrollment to division deans.
  • Assist director with maintenance of yearly schedule.
Coordinate textbook information as related to class scheduling; Confer regularly with faculty and outside entities.
  • Develop and maintain a tracking system for OER and low-cost textbook information.
  • Gather and enter low-cost textbook & OER information into ctcLink.
  • Coordinate with the bookstore as needed to facilitate textbook ordering.
Analyze policies, procedures, practice and conformance with rules and regulations; participates in establishing program standards and identifying areas for program development.
  • Ensure class scheduling activities adhere to policies, guidelines, and regulatory requirements. 
  • Continuously assess and enhance class scheduling procedures to identify opportunities for process improvements to streamline operations.

Minimum Qualifications

Minimum Qualifications: 

  • Two years of office/administrative experience.
  • Experience with gathering and transforming data.
  • Experience in MS Excel.
  • High-School Degree/GED.

Preferred Qualifications:
  • Associate or bachelor’s Degree.
  • Experience in a higher education or educational institution.
  • Knowledge of ctcLink or Peoplesoft Curriculum Management.

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $43,716 - $58,380 annually. All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:
