About the Department
Position Duties
Provides document & communication management support. Distribute and track project documents and drawings; manage electronic and hard copy files; write meeting minutes; maintain records of contracts, change orders, and correspondence; support document control and compliance.
Performs Technical Review & Engineering Support; Review submittals and shop drawings for design compliance; perform engineering calculations and analyses; identify design conflicts and coordinate resolutions with designers and project teams.
Responsible for project coordination and stakeholder communication; collaborate with field engineers, contractors, clients, and internal teams to ensure smooth project execution; facilitate clear communication across all stakeholders. Assist Project manager in preparing meeting agenda and meeting minutes.
Support project progress and quality monitoring; monitor schedule progress, identify delays, and prepare progress reports; review project documents for quality and specification compliance; identify cost-saving opportunities and flag potential overruns.
Coordination with the project team to ensure safety protocols are met. Assist Capital Program Delivery, Safety and Compliance by maintaining project safety records and site-specific safety requirements records. May assist in scheduling training.
Examples of Essential Duties:
Maintain and update project drawing sets, specifications, and logs.
Assist with the Request for Information (RFI) process by tracking and coordinating responses.
Develop and maintain project schedules using project management software.
Assist in cost estimating and tracking by reviewing contractor invoices and changing orders.
Attend project meetings and document minutes.
Assist with quality inspections and issue resolution.
Ensure all documentation and processes comply with health and safety regulations.
Assist in preparing and processing contract documents and amendments.
Perform all job duties and responsibilities safely to protect oneself, fellow employees, and the public from injury or harm. Promote safety awareness and follow safety procedures to reduce or eliminate accidents.
Perform other duties as assigned.
Minimum Qualifications
Sufficient experience, training and/or education to demonstrate the knowledge and ability to successfully perform the essential functions of the position. In lieu of a degree, work-related experience that demonstrates the skills and experience necessary to perform this role will be accepted. Development of the required knowledge and abilities is typically obtained through but not limited to:
Bachelor’s degree in civil engineering, construction management or a related field.
Three (3) years of full-time work experience supporting construction, engineering or related fields.
Preferred Qualifications:
Engineer in Training (EIT) certification or equivalent.
LEED Accreditation or other sustainability-related qualifications.
Prior experience in construction or infrastructure projects.
Familiar with construction drawings and specifications, cost control and change orders
Knowledge of local building codes, regulations, and permitting processes.
Proficiency in AutoCAD, BIM software, and project management tools.
Strong technical understanding of construction methods and engineering principles.
Familiarity with Primavera P6, MS Project, or other scheduling software.
Experience with contract administration, RFI’s and document management systems (e.g., Procore, Bluebeam, SharePoint).
Excellent communication and interpersonal skills.
Detail-oriented with strong organizational and time management abilities.
Ability to work independently and collaboratively as part of a team.
