About the Job:

The Terminal Operations department is seeking a detail-oriented Administrative Assistant II to keep their team running at top performance by supporting daily operations. The ideal candidate will thrive in a fast-paced environment, will enjoy solving problems, and will take pride in keeping tasks organized and efficient. 

Their excellent written and verbal communication skills will be key in building and maintaining positive working relationships with internal teams, external vendors, and key airport stakeholders. A collaborative mindset and the ability to navigate sensitive or time-critical situations with professionalism and discretion are essential to maintaining the integrity of the department’s programs, supporting operational projects, and ensuring timely execution of critical tasks. 

What You’ll Do:

  • Records Management: Prepares departmental correspondence and documents with accuracy and precision, including memorandums, charts, reports, contracts, agreements, amendments, agenda sheets, forms, and timecards. Serves as the department’s Records Coordinator, maintaining digital filing systems and ensuring accessible, organized records. Drafts, proofreads, and formats operational documents and correspondence with attention to detail. 
  • Front Line Support: Receives and screens telephone calls and high-volume email communications, prioritizing urgent matters and routing inquiries appropriately. Handles sensitive issues with discretion and sound independent judgment. Maintains strong working relationships with internal teams, airline station managers, and other airport stakeholders to support effective communication and collaboration. Support projects and events occurring throughout the Authority campus. 
  • Office Support: Attends to a variety of administrative details including inventory management, ordering supplies, and maintaining office equipment. Supports operational projects and special events by assisting with logistics, stakeholder communication, and on-site coordination. Coordinates and confirms meetings for department staff, including scheduling, agenda preparation, note-taking, and distribution of minutes. Manages calendars for department directors or managers and arranges travel and training logistics.  Prepares travel requests, compiles expense reports, and ensures timely processing of payments and registrations. Provides backup coverage for other administrative roles to ensure the organization’s workflow continuity.  
  • Timekeeping & Payroll Support: Reviews, processes, and submits department timecards and absence requests. Maintains employee attendance records, ensures payroll codes and leave time are accurate, and logs and proofreads time entries. Supports payroll accuracy and compliance with internal policies.  
  • Procurement & Budget Processing: Distributes RFPs and RFQs to respondents and prepares required documentation per the organization’s process. Coordinates procurement processes, working with a wide range of vendors. Prepares and processes purchase orders, tracks deliveries, and follows up on outstanding requests. Audits invoices for accuracy and ensures timely vendor payments to prevent service interruptions. Tracks and records departmental budget expenditures in alignment with guidelines. Monitors purchase orders, vendor invoices, and expense reports for accuracy and compliance. Prepares and processes monthly accruals, collaborates with accounting and finance teams to reconcile expenses, and assists in forecasting operational costs. Maintains detailed budget spreadsheets and provides regular updates to management. Completes other duties as assigned.

  5. Leveraging Technology: Effectively uses and generates information electronically integrates technology solutions and systems. 

Requirements

The Experience You Need to Have**:

  • Graduation from high school or G.E.D. equivalent.  
  • Four years of increasingly responsible office administrative or secretarial experience.   
  • Equivalent combination of training and experience.  

Licenses, Certificates, and Special Requirements:

  • Successful completion of a fingerprint-based background investigation, training, and testing required for employment and operation and operation of Authority and San Diego County physical security, surveillance, radio and telecommunications equipment.

Preferred Licenses; Certificates; Special Requirements:

  • Bachelor’s degree in business administration or a closely related field.
