Job Title: Site Coordinator 

Division: Operations 

Location: Jack & Cindy Jones Youth Center at Mar Vista Gardens 

Status: Full-Time, Non-Exempt up to 40 hours per week (Primarily: 10:30am- 7:30pm., M-F) 

Base Pay: $25.00 / Hour

The Program Manager is a dynamic, organized, and community focused leader responsible for overseeing the operations, safety, and outreach at a Boys & Girls Club site. This role requires strong administrative and organizational skills, as well as a passion for youth development and community engagement. The Program Manager plays a vital role in driving outreach and membership growth by building strong relationships with families, schools, and community partners. They are also responsible for leading the planning and execution of exciting programming, field trips and meaningful special events that create enriching experiences for all Club members. This role serves as a primary leader in support of the Club Director at MVG, modeling best practices and support for additional staff. 


Key Responsibilities: 


Site Operations & Safety 

  • Manages daily operations of the Club site, ensuring a safe, structured, and supportive environment for all members. 
  • Implements and enforces all safety policies and emergency procedures in accordance with organizational guidelines. 
  • Maintains a clean, organized, and welcoming environment that supports youth development. Manages the opening and closing procedures as well as facilities issues and maintenance requests. 
  • Models exemplary customer service with youth, families, staff, and community partners. This includes strong communication, presence, and energy as a key leader in the club. 

Outreach & Membership Enrollment 

  • Responsible for overseeing efforts to recruit and retain Club members through school, community, and family outreach. 
  • Builds and maintains positive relationships with local schools, community organizations, partner organizations, and parents/guardians. 
  • Works as the lead for public and community outreach events to build awareness and recruitment of members. 
  • Oversees the enrollment process, maintains accurate member records, and tracks participation data for Club Director and organizational reporting. 

Program & Event Coordination 

  • Organizes and leads special events such as holiday celebrations, volunteer events, family nights, and community service projects. 
  • Serves as lead coordinator for off-site field trips, including logistics, transportation, online registration, and safety supervision. 
  • Supports the creative design of winter, spring, and summer sessions, while engaging in Boys & Girls Clubs of America toolkits and resources. 

Administration & Compliance 

  • Oversees site documentation including member records, incident reports, and daily attendance tracking. 
  • Assists with grant compliance, data entry, and reporting as required by the organization or funding agencies. Responsible for collecting outcome measurements such as pre and post assessments for grant deliverables. 
  • Monitors program delivery to ensure alignment with organizational goals and quality standards. 
  • Manages supply inventory, ordering, and site budget under supervision of club leadership. 

Requirements

 

Qualifications: 

  • Minimum 2 years of experience in youth programming, nonprofit management, or site coordination. 
  • Strong administrative and organizational skills, including proficiency with Microsoft Office and data systems. 
  • Ability to read and communicate clearly to complete reports, properly document programs, and utilize organizational data. 
  • Excellent interpersonal and communication skills, with the ability to engage diverse communities. 
  • Strong experience in planning and implementing youth programming. 
  • Demonstrated ability to manage multiple priorities in a fast-paced environment. 
  • CPR/First Aid certification (or willingness to obtain upon hire). 
  • A valid driver's license and ability to be insured under the company's insurance policy. 
  • Must pass background checks and meet organizational requirements.
