Position assigned to the ASB Office at Gilroy High School

 

Basic FunctionsTo perform a variety of clerical activities at various levels of complexity in support of assigned school office operations.  To provide a wide variety of responsible and/or more specialized clerical services for school administrators and/or staff and in support of assigned school office operations.  Employees in this classification receive general supervision from a school site administrator or his/her designate within a framework of standard policies and procedures.  This job class performs journey level clerical duties and requires knowledge of specialized procedures, precedents, and requirements associated with the operation of assigned school office.  This job class must be able to choose among a limited number of alternatives in solving routine problems.



Typical Duties:

  • Performs a variety of clerical activities related to the function(s) of the assigned school office
  • Types letters, memos, reports, correspondence, invoices, requisitions, and other materials from clear, draft, or handwritten copy
  • Types prescribed information on forms, cards, and records from clearly defined sources
  • Answers telephones, takes messages, and/or refers callers to appropriate resources
  • Receives, screens, and waits on students, faculty, parents, and the public providing requested information, referring to appropriate office/staff member or setting up appointments with appropriate school administrator or staff member
  • Verifies student absences and issues admit slips
  • Checks, verifies, sorts, tabulates, and files a variety of data and information according to predetermined classifications; maintaining alphabetical, numerical, index, and cross-reference files
  • Maintains and processes information related to assigned operation records by transferring data, calculating totals and subtotals, or complying summaries
  • Maintains assigned school office records such as attendance, enrollment, health, student CUM, registration and prepares routine reports as required
  • Prepares and duplicates materials
  • Processes forms, applications, documents, records, and/or other paperwork in support of assigned school office functions
  • Assembles and organizes materials and schedules locations for testing, health screenings or meetings; may participate in testing or health screening activities as required
  • Maintains routine accounting records related to school and/or student body accounts receiving money payments, issuing receipts, and recording amounts
  • Orders and keeps inventory of office and school supplies
  • Maintains appointments and schedules calendar
  • May administer minor first aid in conjunction with established District policy
  • Performs related duties consistent with job description

 

Employment Standards:

  • Knowledge of modern office methods, procedures, and practices
  • Knowledge of proper English usage, grammar, punctuation, and spelling
  • Ability to type accurately at 40 words per minute
  • Ability to understand and follow both oral and written instructions
  • Ability to learn the operation, procedures, policies, and requirement of assigned program or operational unit
  • Ability to learn to operate standard office equipment/machines such as typewriter, calculator, copy machine and computer terminal and printer
  • Ability to perform routine arithmetical calculations using addition, subtraction, multiplication, and division
  • Ability to establish and maintain routine records and prepare routine reports
  • Ability to effectively communicate in both written and oral form
  • Ability to maintain effective work relationships with those contacted in the performance of required duties
  • Ability to understand and effectively carry out both oral and written directions in an independent manner
  • Ability to operate designated office equipment with speed and accuracy
  • Ability to establish and maintain effective work relationships with those contacted in the performance of required duties
  • Ability to speak Spanish is desired
