The Physician Office Supervisor is responsible for planning, controlling, organizing and directing the day-to-day operations and activities of the physician affiliate office or physician department in conjunction with Practice Manager and/or Director of Practice Operations.
Schedule: Full Time
Shift: Monday – Friday; 8:00am – 5:00pm

The role you’ll contribute:
The Provider Onboarding Coordinator, under the direction of the Sr. Transition Manager and Provider Onboarding Manager, is responsible for all aspects of the onboarding of all new employed or contracted providers joining AdventHealth Medical Group (AHMG). This includes facilitating the credentialing process, coordination of orientation and training, communication to all impacted departments with updates on provider onboarding statuses and progress as well as processes related to practice closures, relocations, and provider separations. The Provider Onboarding Coordinator will also assist with direct communication to new hire providers to ensure onboarding efficiency and timeliness.

Supervises the physician affiliate office/department in a cost-effective, efficient manner assuring that staff provides high quality care in a courteous and friendly atmosphere.
Regularly reviews charge, scheduling and other financial reports along with billing practices to assure physician and office reimbursement is appropriate
Assists the Practice Manager and/or Director of Practice Operations in preparation of annual budget, as requested
Properly prepares check requests along with office and/or physician Expense Reports and Petty Cash Reimbursement/Reconciliation form in accordance with policy
Demonstrates ability to read and understand expense reports and works with Practice Manager and/or Director of Operations regarding variances. Understands budgetary limitations and helps office to maintain budgetary limits.
Properly processes invoices for payment in accordance with hospital policy
May prepare and track data which reflects turnaround time and test results.
Is responsible for training, development and assignment of tasks to the physician affiliate office staff.
Provides input for employee periodic and annual evaluations
Participates in monthly staff meetings. Minutes and a roster are maintained.
Coordinates completion of employee competencies in a timely manner
Prepares, updates and tracks department schedules to ensure adequate staffing coverage in practice to include on-call schedules, prn staffing and PDO days for employees and physicians.
Demonstrates ability to interpret and enforce Florida Hospital Memorial Medical Center and HealthCare Partners policies and procedures
Properly completes Time and Attendance for employees as may be assigned
Maintains medical records in compliance with Florida Hospital Memorial Medical Center, HealthCare Partners, TJC and HIPAA requirements with respect to patient confidentiality, security and completeness.
Assures that office meets Safety and Infection Control standards.
Responds to problems/concerns of the physicians and staff members of the practice.
Assists with physician credentialing as necessary.
Acts as practice liaison for patients and staff.
Provides reports and statistics as requested by management.
May fill in for front office staff as needed

Minimum qualifications:
High School Diploma or Equivalent
2+ years of leadership experience
