POSITION SUMMARY
The Safari Consultant is responsible for overseeing the end-to-end process of custom and group safari bookings for African Travel. This includes managing sales, operations, trip finalization, and accounting functions in line with established administrative procedures. The primary focus of the role is to drive high-quality sales and deliver exceptional customer service.
Reporting directly to the VP of Operations, the Safari Consultant serves as a key liaison between external clients—such as Travel Advisors and consumers—and internal departments, including operations, air, and product teams. This dynamic role requires strong communication skills, attention to detail, and the ability to manage multiple tasks to ensure seamless travel experiences.
KEY RESPONSIBILITIES
- Manage inbound inquiries through phone and email, delivering personalized travel quotes and destination advice for clients planning travel to Africa.
- Provide travel advisors with detailed itineraries and costings for customized safari trips and luxury set departure packages using Kaptio, ensuring same-day turnaround on all quote requests.
- Produce detailed quotes in Kaptio, including full itineraries and accurate pricing for customized safari experiences.
- Create Operations (OPS) sheets to quote and secure land arrangements with African suppliers.
- Maintain clear communication with the Operations Department, providing regular updates on the status and progress of quotes and bookings to ensure a smooth workflow.
- Liaise with local Destination Management Companies (DMCs) to confirm services promptly upon client or travel agent itinerary approval.
- Provide clients with expert destination knowledge, personalized activity recommendations, and essential travel information to support itinerary planning and enhance the overall travel experience.
- Maintain thorough follow-up and correspondence records within the Kaptio system, ensuring complete and accurate history of each quote and booking.
- Send secure payment links to agents upon confirmation of booking, ensuring a smooth transition from quote to finalized reservation.
- Generate invoices for travel advisors and clients using the Kaptio booking system, ensuring accuracy and timely delivery of financial documentation.
- Follow up with clients on required forms and documentation, including visa requirements, health/inoculation information, and other essential travel details to ensure compliance and preparedness.
- Conduct daily follow-ups on all bookings, proposals, and leads, adhering to established departmental procedures to ensure timely responses and maintain momentum in the sales process.
- Handle client complaints and refund requests promptly and professionally, ensuring customer satisfaction and resolution in line with company policies.
- Perform additional duties as assigned, demonstrating flexibility and a proactive approach to supporting team and company needs.
Requirements
ROLE SUCCESS CRITERIA
- In-depth knowledge of African destinations, including but not limited to South Africa, Kenya, Tanzania, Rwanda, Morocco, and Egypt.
- Minimum of 3 years’ experience in the tailor-made travel industry required, demonstrating expertise in designing customized travel experiences.

YOUR EXPERIENCE AND EXPERTISE
- Minimum of 3 years’ experience in the tailor-made travel industry required, demonstrating expertise in designing customized travel experiences.
- Excellent written and verbal communication skills—required for effective client interaction and internal coordination.
- Advanced computer literacy, including proficiency with Outlook, Excel, Word, and SharePoint for efficient workflow and communication.
