Description
Under the supervision of the Data & Registration Manager, the Data Contact Management Coordinator is responsible for maintaining the accuracy and integrity of church data within the ChMS system. Key duties include managing weekly new visitor assimilation processes, performing day-to-day data entry, assisting with event registration inquiries, generating reports, assisting with audits of data entry procedures, and supporting other tasks as assigned by the Data & Registration Manager to advance the ministry. This is a full-time role (40 hours per week, Sunday–Thursday), with occasional evenings and weekends required for JRC events. This position requires that candidates actively attend James River Church.
Essential Functions & Job Duties:
- Accurately input information from Connect Cards, Kids Check-In, and Altar Forms into the ChMS system.
- Assign New Visitor Interactions to Leadership Team on a weekly basis.
- Input Attendance for weekly New Visitor Cookie visits and Phone Call Interactions
- Assign follow-up interactions from New Visitor Cookie Visits and Phone Calls to appropriate departments weekly.
- Notify the Hosting Team of received “Schedule a Visit” forms.
- Perform tasks such as profile updates, duplicate profile management, subscribes & unsubscribes from church communication, uploading profile pictures/documents.
- Combine duplicate profiles in the ChMS system and perform weekly status clean-up to maintain data integrity and accuracy.
- Archive all visitor cards weekly for record keeping.
- Assist with entering JRC deceased notifications into the ChMS system daily.
- Assist with processing online Prayer Requests & Praise Testimonies for follow-up.
- Assist with processing online contact forms and respond professionally and promptly.
- Assist in generating reports and communication lists for ministry teams.
- Assist with scheduling mass text communications for ministry teams.
- Answering phone inquiries and assisting with event registration questions
- Assist with onsite event check-in & registration needs
- All other duties as assigned.
Requirements
- Highschool diploma or equivalent
- PC skills including Microsoft Office Suite (Excel, Outlook, Publisher, Word, Planner, and Teams).
- Preferred but not required, experience in customer service and/or sales.
- Preferred but not required, knowledge of Fellowship One church software.
- Preferred but not required, knowledge of Brushfire registration software.
- Called to support ministry.
- This position requires that the candidates actively attend JRC and have completed GrowTrack with approval as a dream team member.
Knowledge, Skills & Abilities:
- Understanding of how to input, update, and manage data in ChMS.
- Knowledge of data entry best practices, including maintaining accuracy, managing duplicates, and conducting regular data clean-ups.
- Ability to generate accurate reports from ChMS, ensure data consistency, and customize reports for different departments or ministries.
- Familiarity with effective communication tools, including mass text messaging platforms, phone systems, and email communication, and best practices for professional correspondence.
- Understanding of how to conduct regular audits to ensure that all data in the ChMS system is correct and up to date.
- Awareness of the importance of maintaining confidentiality in managing sensitive church and personal data.
- Strong focus on accuracy in data entry, profile management, and report generation.
- Excellent phone and email communication.
- Ability to manage multiple tasks simultaneously while maintaining strong organization skills to track deadlines & processes.
- Ability to work well with various departments, leadership, and the Data Management Coordinator to meet the needs of the organization.
- Comfort with using spreadsheets, databases, and other tools for tracking, reporting, and communicating data.
- Strong written and verbal communication skills.
- Proficient using spreadsheets (Excel or similar) to track and organize data.
- Ability to prioritize and complete tasks efficiently while maintaining accuracy.
- Must have strong analytical skills and critical thinking skills.
- Ability to work in a fast-paced environment while meeting critical deadlines.
