PURPOSE
The Medicaid Analyst performs a variety of supervisory duties to relieve the Director of administrative and clerical detail. Responsible for overseeing/management of the departmental budgeting activities including but not limited to grants, purchasing, department payroll, donations, and community partner invoicing. Responsible for ensuring compliance with Medicaid regulations. This role combines financial management, regulatory coordination, and operational support to ensure accurate budgeting and successful Medicaid billing and reimbursement. The ideal candidate will have strong financial acumen, attention to detail, and familiarity with Medicaid programs.
MINIMUM QUALIFICATION
- Any combination equivalent to graduation from high school supplemented by college-level coursework in business, secretarial science, or a related field.
- Five years of increasingly responsible secretarial or administrative assistant experience, that includes payroll management and budgeting oversight.
- Strong computer, organizational, communication, interpersonal, and data analytical skills.
PREFERRED QUALIFICATION
- Licensed Practical Nurse (LPN) license in the state of Indiana with five years’ experience in school or public health preferred.
- Familiarity with grants or contract funding.
- Familiarity of Medicaid billing processes, rules, and regulations.
ESSENTIAL FUNCTIONS
- Assist Director in coordination and oversight of departmental payroll that includes but not limited to documentation, employee communication, and data entry.
- Coordination and oversight of office administrative staff that provides support and direction to ensure smooth and efficient office operations, granting writing, Medicaid billing, payroll management, and budgeting.
- Perform related duties as assigned by the Director to meet the needs of the department.
- Perform a variety of clerical accounting duties in support of assigned functions as required, that include but are not limited to financial activity, budgets, personnel records, student-related documentation, communications, and assigned duties.
- Compute statistical information for various reports; prepare, process, and evaluate a variety of forms, applications, and documents.
- Coordinate, develop, monitor, and manage departmental and program budgets.
- Analyze financial data to track expenditures, identify variances, and provide projections.
- Coordinate and prepare monthly, quarterly, and annual financial reports for internal and external stakeholders.
- Assist with grant budget development and reporting, where applicable.
- Support leadership in financial planning and cost containment initiatives.
- Perform all Medicaid data collection and data entry for department.
- Maintain confidentiality of student information.
- Ensure accurate and timely submission of Medicaid billing and claims; process claims and reimbursements.
- Monitor Medicaid reimbursement trends and assist in rate analysis.
- Maintain knowledge of Medicaid rules, changes, and policy updates at the state and federal levels.
- Serve as liaison with Medicaid agencies, auditors, and compliance entities.
- Ensure compliance with Medicaid documentation and reporting requirements.
- Coordinate and oversee clinical and administrative staff to ensure Medicaid eligibility and service documentation all align with billing practices.
- Attend all and any Medicaid meetings that include but are not limited to third-party billing providers, RFP meetings, EHR providers, and vendors.
