Group Rooms & Billing Coordinator, Full Time
Rate of Pay: $30/hour
Brief Summary of Job:
A. Responsible for assisting the sales and catering and sales team in administering reservations functions in group room reservations on a daily basis while providing the highest level of service possible in an efficient, courteous and professional manner by following Marriott standards of hospitality and adhering to guidelines and procedures.
B. Responsible for assisting the sales and accounting team in administering final billing for all in house groups to include: processing deposits, building master accounts, preparing bill for sales to review, sending to customers, and closing master accounts, while providing the highest level of service possible in an efficient, courteous and professional manner by following Marriott standards of hospitality and adhering to guidelines and procedures.
Essential Functions and Responsibilities of the job include but are not limited to:
____ Providing services that are above and beyond for guest satisfaction and retention.
____ Utilizing interpersonal and communication skills to lead, influence and encourage others.
advocates sound financial/business decision making; demonstrates honesty/integrity;
leads by example.
____ Sends out initial request for group deposits and sets up Master accounts in CITY and FOSSE reservations systems.
____ Encouraging and building mutual trust, respect, and cooperation among team members.
____ Improving service by communicating and assisting individuals to understand guest needs,
maintaining quality products in accordance with Pacifica Hotel Company standards,
providing guidance, feedback and individual coaching when needed.
____ Assists management in group reservations processes and operations to include, but not limited to, group room inventory and availability, group rooming lists and blocks, cut-off dates, and meeting participation.
____Maintains group master accounts
____Releases group rooms back into general inventory and ensures clean booking windows for customers
____ Be knowledgeable about daily hotel operations, check daily event sheet, bulletin boards and be up to date with all changes, new procedures and events.
____ Maintain and understand special guest programs and franchise related programs.
____ Find solutions quickly, and confidently address and resolve guest concerns.
____Review and send out final invoices to catering clients.
____ Provide assistance to other team members and departments to contribute to the best overall performance of the department, restaurant and hotel.
____ Perform other duties as assigned, requested or deemed necessary by management.

Knowledge/Education/Experience: Proficient in Microsoft applications. Minimum three (3) years’ experience in Hotel front office, revenue management and/or sales operations required. Familiarity with Marriott systems highly preferred. Experience in a union environment preferred. Ability to speak multiple languages preferred. College graduate desirable.

Ability to make timely, effective decisions. Ability to prioritize, organize and complete work assignments. Ability to maintain good team member relations.
