Description

The Summit Area YMCA is seeking a highly organized, tech-savvy Executive Assistant to provide administrative support to our President/CEO and senior leadership team, while also coordinating our mission-driven Community Garden program. This role offers the opportunity to work closely with organizational leaders, manage key projects, and help grow a program that serves our community in meaningful ways.

  • Excel in Microsoft Office Suite—especially Word, Excel, PowerPoint, Outlook, and Teams 
  • Are highly organized and can manage multiple priorities with accuracy and efficiency 
  • Communicate clearly, professionally, and with a positive approach 
  • Anticipate needs and take initiative without being prompted 
  • Maintain the highest level of confidentiality and discretion 
  • Enjoy both independent work and collaborative projects 
  • Are open to learning new skills—including basic gardening tasks—to support program needs

Key Responsibilities:

 

  • Provide high-level administrative support to the President/CEO and senior leaders, including scheduling, preparing reports, creating high-quality presentations, and maintaining confidential records 
  • Draft agendas, coordinate materials, and take accurate Board and committee meeting minutes within 48 hours 
  • Assist with technology-related tasks such as data management, online meeting coordination, and document formatting 
  • Coordinate Community Garden operations, including registration, plot assignments, volunteer committees, seasonal planning, and events 
  • Support food pantry partnerships, educational initiatives, and community engagement efforts 
  • Serve as a professional representative of the CEO’s office and the YMCA at meetings and events

Salary & Benefits

This full-time, non-exempt position generally works Monday–Friday during standard business hours, with occasional evening or weekend responsibilities. The Salary range for this position is $23.00 – $28.00 per hour, based on experience.

Requirements

  • A minimum of an Associate’s degree in Business Administration or related field is required.
  • Minimum of two (2) years of experience in an executive administrative or high-level support role.
  • Expert-level proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent written and verbal communication skills.
  • Superior organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and strong problem-solving abilities.
  • Ability to work independently and exercise good judgment and discretion.
  • Strong interpersonal skills and ability to work with diverse internal and external stakeholders.
  • Experience with nonprofit, community engagement, or volunteer management is a plus.
  • Basic knowledge of gardening or willingness to learn.
