Caprock Academy is seeking a Business Office Associate - Human Resources and Accounts Receivable. Caprock Academy is a public, tuition-free school chartered by the Colorado Charter School Institute and utilizes the timeless principles of classically oriented education. Caprock Academy follows the Core Knowledge© curriculum in grades K–8. This curriculum encompasses language arts, mathematics, science, history, geography, fine arts, and physical education. The curriculum is characterized by content-rich instruction, cumulative knowledge, content-specific lessons, and coherent sequencing. The foundation of our academics are rooted in classical education philosophy and pedagogy, following the grammar, logic and rhetoric trivium. The Business Office Associate shall report to the Head of School. As a person integral to Caprock Academy’s administrative team, the Business Office Assistant will maintain the integrity of, advocate for, and facilitate the implementation of Caprock Academy’s Vision, Mission, and Core Values at all times.
FLSA CLASSIFICATION: Salary Non-Exempt
EMPLOYMENT STATUS: Regular, full-time
WORK HOURS: 40 hours per week
PAY RANGE: Starting salary of $33,000.00
REPORTS TO: Head of School
Essential Duties:
Staff/Human Resources Related Duties
1. Primary timekeeping manager.
2. Maintain and update employee files as needed/directed.
3. Scan Human Resource documents.
4. Process filing for Finance office.
- Collaborates with the HR Manager and Head of School to define the organization’s long-term goals; identifies ways to support this mission through talent management.
- Assists with managing all aspects of annual open enrollment for health benefits.
- Assists with managing all aspects of liability insurance renewal.
- Assists with administering employee health, welfare and retirement plans, which include: a pension plan through the Public Employees Retirement Association (PERA), a 401K Retirement Plan, medical/dental insurance, workers’ compensation, leaves of absence, FAMLI and FMLA.
- Assists as liaison between employees and insurance provider(s) to resolve benefit related problems and ensure the effective utilization of plans and positive employee relations.
- Researches, develops, and implements competitive compensation, benefits, performance appraisal, and employee incentive programs.
- Assists with all aspects of payroll, including maintaining proper record-keeping.
- Responds to employee relations issues such as employee complaints and harassment allegations, and conducts investigations accordingly.
- Works collaboratively with School’s labor counsel on personnel matters, including all disciplinary and termination matters in accordance with School policy.
- Manages, tracks, and maintains the confidentiality of all School disciplinary matters.
- Maintains all employee personnel files and medical files – ensuring the security and confidentiality of same.
- Assists with providing constructive and timely performance evaluations.
- Provides resolution of human resource, compensation, and benefits questions, concerns, and issues.
- Maintains knowledge of laws, regulations, and best practices in employment law and human resources.
- Ensures compliance with employment laws, benefits, insurance, safety, and other laws, regulations, and requirements.
- Provides input into the School’s budget planning related to HR staffing and needs.
- Maintains appropriate record-keeping to ensure compliance with federal and state laws and regulations.
- Assists with managing and handling the hiring process, including writing job descriptions, placing advertisements, coordinating interviews and participating in the selection process.
- Assists with maintaining an up-to-date Employee Handbook.
- Assists in School and staff training and development efforts.
- Coordinates the handling of unemployment compensation matters.
- Assists with collective bargaining negotiations and record-keeping of same.
- Ensures compliance with I-9 Employment Eligibility Verification; periodically audits Form I-9.
- Participates in professional development and networking conferences and events.
- Conducts exit interviews to determine reason(s) for separation.
- Manages federally issued grants.
- Performs other duties as assigned.
Back Office Responsibilities
1. Maintain a list of copy codes and reset at month end; issue copy codes and record/monitor monthly usage.
2. Maintain main workroom and high school workroom including stocking of supplies and organization.
3. Monitor, order, and distribute office supplies including laminate, and toner for all printers.
4. Maintain all office equipment including printers, copiers and postage machine. Be the first point of contact with All Copy to include placing work orders and ordering supplies.
5. Verification of all cash deposits (validation, loss control).
6. Monitor Ordering email and serve all printing and in-house order requests daily.
7. Support HR Manager and Finance Manager.
8. Maintain employee files in FACTS, Readysub, Vector and any other databases necessary for
employment.
Financial/Bookkeeping Duties
- Processing of any urgent/unexpected financial items which need immediate response.
- Bill entry into Quick books.
- Paying all bills to vendors for services/purchases.
- Processing of reimbursements for employees/parents.
- Enter Journal entries for payroll.
- Track all grants and other payments from the state.
- Audit preparation.
- Preparation of payroll checks and distribution to staff (shared).
- Preparation of all deposits.
- Invoicing for NSF checks from parents.
- Responsible for weekly review of bank balances/activity.
- Monthly journal entries for various account record keeping.
- Monthly reconciliation of General Fund and Payroll with bank statement(s).
- Preparation of 1099's.
- Verification of all account activity for monthly finance meetings.
- Quarterly notification to teachers of current classroom funds; maintain fund balances.
- Collect, verify, and record all deposits.
- Year-end closeouts and reporting - assist Chief Facilities and Business Officer
- Attend Financial Committee Meetings, at the request of Chief Facilities and Business Officer
Ordering/Receiving
- Assists with ordering of urgent curriculum items (usually books).
- Assists with regular orders of materials, classroom supplies, books, etc.
- Researching items needed by the office or staff.
- Making calls to various vendors regarding products & services.
- Assists with review of funds vs. budget limits.
Staff/HR Related Duties
- Assist in payroll processing.
- Keeping a record of classroom inventories.
- Assist with updates of all changes in the payroll system (shared).
- Assist as needed with ACA reporting and compliance.
Requirements
Minimum Qualifications:
- Associate degree or higher from an accredited institution in accounting or related field preferred.
- QuickBooks experience preferred. Prior experience in accounting, accounts receivable, or bookkeeping preferred.
- Strong preference for candidates with prior experience in a charter or independent school environments, or governmental accounting.
- Outstanding organizational skills and high attention to detail; outstanding written and oral communication skills.
