Job Description

60% – Administrative Support

  • Provide general office assistance to the Geology Department, including photocopying, scanning, filing, processing mail, ordering supplies, data entry, shipping and receiving, stocking materials, light cleaning, and taking notes during meetings as needed.
15% – Reception & Customer Service
  • Assist in staffing the reception desk to create a welcoming environment for visitors. Greet and direct guests, faculty, staff, and students, and provide information or guidance as needed.

10% – Event Coordination

  • Support the planning and execution of departmental and alumni events. Duties may include preparing and sending mailings or invitations, making reservations, setting up and cleaning up event spaces, greeting attendees, preparing name tags, and arranging refreshments.

10% – Errands & Outreach

  • Perform on-campus errands by walking or driving departmental/KU vehicles as needed. Assist with department social media outreach by drafting and posting approved content to promote events, achievements, and activities.

5% – Other Duties

  • Complete additional tasks as assigned to support departmental operations.

Required Qualifications

  1. Previous computer experience, including proficiency with Microsoft Excel and Word, as indicated on application materials.
  2. Strong interpersonal and customer service skills, as indicated on application materials.
  3. Proven ability to multi-task effectively in a busy environment, as indicated on application materials.
  4. Self-starter with the ability to work independently without close supervision, as indicated on application materials.
  5. Must be able to work at least 10 hours per week in intervals of two or more hours at a time.
  6. Ability to lift or push items weighing approximately 40 pounds.
  7. Valid driver’s license and ability to drive departmental vehicles.

  1. Experience with Adobe Acrobat as indicated on application materials. 

Position Overview

The Geology Student Administrative Assistant provides general support for departmental operations, helping to maintain an efficient, welcoming, and organized office environment. Responsibilities may include administrative tasks, customer service, event assistance, errands, and other projects that contribute to the smooth functioning of the department.

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
