POSITION SUMMARY:
The Catholic Diocese of Charlotte is seeking a part-time Administrative Assistant to work within the Office of the Permanent Diaconate.
This position plays a crucial role in coordinating and supporting the Permanent Deacons in the Diocese. Working closely with the Director of the Permanent Diaconate and the Director of Deacon Formation, the Administrative Assistant will provide general administrative support to ensure efficient operation of the office. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks with discretion and professionalism.
KEY RESPONSIBILITIES:
- Manage office communications, including phone calls, emails, and correspondence
- Schedule and coordinate meetings, appointments, and travel arrangements
- Prepare reports, presentations, and data as needed
- Maintain filing systems, databases, sacramental documents, and archival office records
- Order office supplies and manage inventory
- Support members of the Office of the Permanent Diaconate with administrative tasks and special projects
- Greet visitors and ensure a professional and welcoming office environment
OTHER RESPONSIBILITIES:
- Performs other duties as assigned.
Requirements
POSITION REQUIREMENTS:
Education
- High school diploma or equivalent
Experience
- Knowledge of the Catholic Church and its teachings is preferred
- 2+ years of administrative or office support experience is preferred
Skills
- Ability to work collaboratively and effectively with clergy, staff, and parishioners
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Discretion and confidentiality with sensitive information

WORKING ENVIRONMENT:
- This is an on-site position based in Charlotte, NC, with the opportunity to work remotely from time to time with supervisor’s approval.
