PRIMARY FUNCTION

Corporate Risk Coordinator role would provide the following support:

 

  • Contracts Management: Support the current Contracts Coordinator in completing administrative functions related to contracts management (responding to emails, filing, formatting, and processing of contracts in Adobe Sign, maintain listing of all contracts, flag upcoming renewals, etc.).
  • Policy Management: Support the drafting, approval and ongoing management of corporate policies, working closely with the Corporate Risk Management Specialist to address policy gaps to maintain an updated collection of policies.
  • Insurance Administration: Support the Corporate Risk Management Specialist in executing processes to obtain and track all certificates of insurance; ensure all agreements with third parties have a current insurance certificate on file; file all certificates received by HIROC and share with third parties; support information gathering for insurance policy renewals.

 

 

RESPONSIBILITIES & DUTIES INCLUDE:

Contracts Management

Support the Contracts Coordinator in completing administrative functions related to contracts management (responding to emails, filing, formatting, and processing of contracts in Adobe Sign, maintain listing of all contracts, flag upcoming renewals, etc.).

 

Coordinate contract authoring by the Contracts Coordinator, approval and renewal for KHSC purchased service agreements, data sharing agreements, partnership agreements and license agreements.  This includes:

  • Assisting leaders in developing new contracts by selecting appropriate templates, and ensuring inclusion of standard language regarding risk (e.g. privacy, indemnity etc.)
  • Assist leaders in identifying required approvals and facilitating the approval process.
  • Timely engagement of stakeholders in the process of renewing existing contracts

 

Manage Contract Database including (active and archive) executed copies of all agreements and supporting documentation in compliance with KHSC confidentiality and privacy requirements, and corporate records retention standards.

 

Maintain KHSC standardized templates/contract terms in compliance with organizational policies and standards.  Facilitate amendments to existing contracts when required and ensure that contract renewals incorporate all required changes consistent with templates and standard language. In the course of dealing with the contracts, the Corporate Risk Coordinator may identify opportunities for change (i.e., conflicts, duplication). Any suggestions should be reviewed/approved by their manager. Communicate changes to processes, standards, and templates to affected staff and leaders.

 

Policy Management

Support the drafting, approval and ongoing management of corporate policies, working closely with the Corporate Risk Management Specialist to address policy gaps to maintain an updated collection of policies.

 

Coordinate and administer policy authoring by MRPs, as well as approval and renewal. 

 

This includes:

  • Assisting leaders in developing new policies by selecting appropriate templates, and ensuring inclusion of standard language based on a checklist.
  • Assist leaders in identifying required approvals and facilitating the approval process.
  • Timely engagement of stakeholders to facilitate the process of updating existing policies or drafting new policies.

 

Manage Policy Database including (active and archive) copies of all policy versions and supporting documentation in compliance with KHSC corporate records retention standards.
