Description
We are looking for a detail-oriented and proactive Shipping Specialist to support our logistics and inventory operations. This individual will play a key role in coordinating outbound shipments, ensuring accuracy in shipping documentation, and maintaining clear communication with internal teams and external partners. The ideal candidate will have strong organizational skills, a positive attitude, and the ability to work independently and collaboratively in a fast-paced environment.
Daily Responsibilities:
- Coordinate outbound shipments to ensure timely and accurate delivery of finished goods.
- Verify and reconcile shipping documents, including sales orders, packing slips, and invoices for all of our entities.
- Monitor finished product inventory and resolve discrepancies between physical counts and system records.
- Maintain accurate records of all outbound shipments and ensure proper filing and retention of documentation.
- Collaborate closely with warehouse staff, production teams, and third-party logistics providers to address issues and streamline shipping operations.
- Prepare daily, weekly, and monthly shipping and inventory reports.
- Identify and communicate delays, damages, or shipment issues to the appropriate parties.
- Ensure compliance with company policies, safety regulations, and industry standards.
- Accurately and efficiently enter data related to shipments and inventory into internal tracking systems.
- Support ongoing improvement efforts within the shipping and logistics process.
- Enter key data from shipment documents and transactions into Excel spreadsheets.
- Verify load maps against price sheets.
- Maintain constant communication verbally and via email with all departments.
- Enter and process employee orders.
- Reconcile US Cold Storage receipts with inbound paperwork, ensuring all documents match.
- Create receiving purchase orders (POs) and orders as needed.
- Answer phone calls and assist with related inquiries.

Qualifications
Qualifications:
- Associate degree preferred; equivalent experience in logistics, inventory, or shipping may be considered.
- Previous experience in shipping, inventory, or logistics coordination role strongly preferred.
- Proficiency in Microsoft Excel; experience with spreadsheets, inventory systems, and report generation is required.
- Strong verbal and written communication skills.
- High level of accuracy, attention to detail, and ability to problem-solve independently.
- Demonstrated ability to work effectively both in a team setting and independently.
- Must be available to work 2nd shift and Saturdays as needed.
- Strong organizational skills with the ability to multitask and prioritize workload in a fast-paced environment.
Physical Requirements:
- Ability to sit or stand at a desk for extended periods (up to 8 hours per day).
- Frequent use of hands and fingers for typing, data entry, and handling paperwork.
- Occasional bending, reaching, and lifting of office materials or files (up to 25 pounds).
- Regular use of standard office equipment such as computers, printers, phones, and scanners.
- Ability to communicate clearly in person, over the phone, and via email.
- Visual ability to read and interpret data on a computer screen and printed documents.
